Provide oversight over the budget for Facilities Operations, Physical Security, Audio-Visual, Real Estate & Capital Construction groups under the Corporate Facilities umbrella
Partner with internal stakeholders & project managers for preparation and submittal of purchase requisitions, supplier quotes, and statements of work; ensure these expenditures are tracked, managed and within budget & forecasts objectives
Track purchase requisition and SOW expenditure to monthly & quarterly targets; perform meaningful month-end variance analyses and forecasts to communicate with leadership
Collaborate with Corporate Accounts Payable and Corporate Finance groups on month-end close & monthly expense accrual journal entry preparation to ensure timely and accurate reporting
Maintain current operations budget model and track real-time actual spend for the department; find efficiencies within systems to optimize budget modelling accuracy
Perform detailed analysis comparing year-to-date financials to annual operating plan and quarterly forecasts inclusive of spending, department headcount and capital expenditure targets
Develop financial reports and presentations to support organizational decision making
Proactively communicate with suppliers, external accounts receivable, municipal offices & utilities agencies to ensure billing is current and avoid disruption of services
Track monthly Irvine campus utilities usage (electricity, natural gas, water) and provide cost evaluations; adjust forecast for seasonality and rate increases
Provide meaningful analysis to leadership, highlighting monthly and year-over-year trends; communicate risk and anticipate impacts to the budget
Collaborate with internal Procurement, Contracts, Risk Management, and Due Diligence groups for onboarding new suppliers, master services agreements and MSA renewals
Develop tools to manage department’s active supplier contracts list; ensure internal stakeholders are made aware about upcoming expirations
What you'll need (Required):
Bachelor's Degree in in Accounting, Finance, Business, Economics or related field;
A minimum of 3 years of previous related work experience
Strong background with Expense Tracking, Forecasting, Budget Modeling, FP&A planning, & Accounting experience

Proven expertise in MS Office Suite, including advanced Excel; ERP (e.g., JDE, Oracle, SP) experience
Excellent written and verbal communication skills and interpersonal relationship skills
Solid problem-solving, critical thinking, and investigative skills
Resourcefulness to get the job done proactively; ability to self-prioritize tasks understanding the daily business-needs
Solid understanding of Generally Accepted Accounting Principles (GAAP) and Sarbanes-Oxley (SOX)
Solid knowledge of financial concepts and principles

Ability to manage confidential information with discretion

The pay for the successful candidate will depend on various factors (e.g., qualifications, education, prior experience).
