Location: Eureka, CA

A small office in Eureka is seeking a highly-motivated Administrative Assistant certified in bookkeeping and QuickBooks to join our team.

Key Responsibilities:

Answering incoming calls and managing correspondence.

Handling daily deposits and reconciliation of accounts.

Issuing checks to vendors on a daily basis as required.

Maintaining accurate and organized record-keeping practices.

Collaborating with our CPA for tax-related matters when needed.

Managing petty cash logs and ensuring proper documentation.

Creating and following up on payment plans.

Writing collection letters and monitoring accounts receivable.

Following up on and creating payment plans.

Assembling financial data for reports to financial institutions.

Preparing financial reports for internal meetings.

Managing and responding to advertisements and solicitations.

Using third-party software integrated with QuickBooks to process payments securely and efficiently.

Posting costs to customer accounts and running customer billing through third-party software.

Preparing customer notices regarding account activity.

Maintaining accurate records in strict compliance with established regulations, guidelines and protocols.

Required Skills and Qualifications:

Certification in bookkeeping.

Proficiency in QuickBooks and familiarity with third-party software integrations.

Strong organizational skills and attention to detail.

Effective communication, both written and verbal.

Ability to multitask and meet deadlines while maintaining precision.

Experience in working with financial institutions and tax professionals is preferred.

Familiarity with collection practices and payment plan creation is an asset.
