This position is responsible for the clerical support for the company. It is a balance of duties including answering the telephone, filing, printing/copying, shredding, ordering supplies, assisting with credit card reconciliations, matching packing slips to invoices, booking hotels, scheduling deliveries, and overall staff support. Must be efficient in Microsoft Excel spreadsheets.
Success in the role is measured on:
The ability to communicate with various administrative staff throughout the day.
To prioritize staff requests and tasks.
To complete tasks as assigned in a quality manner and update staff on status.
Job Summary / Overview:
This position may do backup clerical support for the Operations, Accounting, Human Resources, Automotive, and Sales departments.
Key Duties and Responsibilities:
Answering the Incoming Call
Matching Invoices to Packing Slips
Assist Accounting with Credit Card Reconciliations
Schedule Deliveries
Hotel Reservations
Ordering Supplies
Filing, copying and printing
Assist with ADOT and Fleet Management
General staff support as needed.
Be able to maintain confidentiality for filing and other confidential information.
Knowledge or Experience:
Be familiar with filing practices including both alphabetical and numerical.
Be familiar with common office machinery.
Be familiar with Microsoft Office and be able to learn other computer software.
Have attention to detail and organizational skills.
Must be proficient in Microsoft Excel and knowing Google Sheets would be a plus.
Minimum Qualifications / Education / Certifications:
A High School Diploma or GED
A valid Arizona Driver’s License
Clear a Background Check
Verified legal status to work in the United States.
Expected hours: 40 per week
