About the Role:
As our Administrative Assistant, you’ll work closely with production managers and internal departments to ensure smooth and efficient daily operations. Your strong communication skills, professionalism, and ability to manage multiple responsibilities will be essential in this critical support role.
The ideal candidate will be bilingual (English and Spanish). We’re looking for someone who is organized, proactive, and reliable — someone who thrives in a collaborative office environment and is eager to contribute to a positive team culture.

What You’ll Be Doing (but not limited to):
Greet visitors and answer incoming phone calls professionally
Schedule appointments, meetings, and maintain staff calendars
Draft, proofread, and manage written communications such as emails, reports, memos, and invoices
Assist with timesheets and attendance
Assist in coordinating meetings, maintain accurate documentation of production meetings, and monitor outstanding action items to ensure timely follow-up
Maintain accurate digital and physical filing systems
Monitor and respond to company emails promptly
Act as a liaison between managers and staff to help ensure tasks are progressing as planned
Track office inventory and reorder supplies as needed
Perform general office duties and provide additional administrative support as requested
Navigate the production area following OSHA PPE guidelines to complete task-related activities
What We’re Looking For:
Proven experience in an administrative or office support role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access)
Excellent written and verbal communication skills
Strong attention to detail and organizational abilities
Ability to handle sensitive information with discretion
Familiarity with standard office equipment (copiers, scanners, phone systems)
Positive attitude and ability to work well with others
Physically able to lift up to 35 lbs. and perform occasional bending, kneeling, or crouching
Valid driver’s license and reliable transportation
High School Diploma
Commitment to OSHA safety standards and workplace safety
Must be bilingual (English and Spanish)
