Description:
DeFusco Industrial Supply is seeking an Administrative Assistant to work in our office located in Mesa, AZ. The annual salary for this position is $35k to $40k DOE to start. This job is a Monday – Friday position during the day with no nights or weekends.
You work with other departments to help us get the jobs done. The responsibilities of this position include:
Perform data entry (order entry, invoicing, payments etc.)
Communicate with management
Assist with compiling payment data for collections meetings
Help contact customers by email and telephone about invoices
Compile and maintain records or insurance, company cards and healthcare
Coordinate projects that may involve working with all levels of management and staff
Adhere to and comply with company policies, procedures, and standards
Perform basic banking duties
Other duties as needed by the company
Ability to keep sensitive information confidential at all times
The qualifications for this position include:
Basic knowledge and experience with Quickbooks, Microsoft Excel, Gmail
Above average keyboard use (typing of 40+ words per minute)
Ability to proof one's own work
Possess a high level of professionalism
Strong written and verbal communication skills,
Accuracy, strong work ethic and attention to detail
Ability to work independently as well as collaborate with colleagues & to prioritize work
Work well with others without conflict and ask for further clarification when necessary
Ability to work within time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, adapt to change, delays or unexpected events
A typical day is coming in, entering orders, invoicing orders, emailing invoices to customers. Helping customers with questions when needed. Going through the payments and entering the payment info to the proper customers. Helping a customer at the will call desk if needed. Make bank deposits as necessary.
