A/R and A/P Specialist

Qualitas Machining & Automation is looking to welcome an Accounts Payable and Accounts Receivable Specialist to the organization to facilitate the transition into managing the A/P and A/R for three entities under the Qualitas Industries umbrella. This position will work with the Controller to ensure customers are invoiced timely and vendors are paid timely with a variety of responsibilities including processing invoices, expenses, managing check runs, posting payment and reconciling accounts. Additionally, you will:

Job Responsibilities:

Process all vendor invoices and credit card statements

Match invoices to purchase orders

Ensure invoices are paid timely, per vendor payment terms

Maintain vendor files

Process the weekly check run

Communicate with customers and vendors and reconcile statements.

Send invoices to customers and follow up on any payment discrepancies.

Accounts receivable deposit and cash application

Assist with month-end close and various ad-hoc projects

Report out on results achieved in invoicing, collections and payments

Assist with monthly accruals and other journal entries as needed

Prepare year-end 1099 reports

Provide excellent customer service to management and all stakeholders

Commit to working together as one team and treat others with trust and respect

Assist with administrative items as needed

Exhibit an honest effort to deliver as promised, never compromising quality

Requirements:

At least a year experience in accounts receivable, accounts payable and general ledger

Solid problem-solving skills to ask the right questions, uncover the root causes and engage in teamwork to get to an effective result

Strong Excel experience (working with LOOKUPS and Pivot Tables)

Strong attention to detail and organized approach.

Excellent verbal and written communication skills

Ability to meet deadlines, effectively track details in a fast-paced environment and implement improvements

Experience with Quickbooks and Made2Manage is a plus.

Degree in Business / Accounting preferred but not required

Requires work in the office (no remote)
