Position Overview:
We are seeking an experienced and detail-oriented Office Manager / Bookkeeper to support our daily operations. The ideal candidate will have a strong background in office administration, bookkeeping, and customer service, as well as familiarity with software tools such as Windows Office and QuickBooks. In this role, you will be responsible for managing office duties, maintaining financial records, assisting with customer inquiries, and supporting sales efforts.
Key Responsibilities:
Office Administration:
Manage general office tasks and assist with improvements to office organization.
Answer phone calls, emails, and customer inquiries, providing a high level of customer service.
Coordinate guide and tour scheduling and ensure the smooth flow of daily operations.
Bookkeeping & Financial Management:
Maintain accurate and up-to-date financial records using QuickBooks.
Process payments, invoices, and ensure proper record-keeping of all transactions.
Reconcile bank statements and manage accounts payable/receivable.
Experience with the FareHarbor system is a plus.
Customer Service & Sales Support:
Provide excellent customer service to clients, addressing their needs and inquiries.
Assist in sales efforts, including creating quotes, confirming bookings, and promoting tourism packages.
Maintain a friendly and professional attitude to ensure a positive experience for our clients.
Generate reports for management to aid in decision-making and performance analysis.
Guiding: The position may include guiding some day hikes if the successful candidate would like that.
Qualifications:
Experience in office administration, customer service, and bookkeeping.
Strong proficiency in computer software; ability to generate reports, track data, and handle financial transactions.
Excellent communication skills and ability to interact with clients and colleagues in a professional manner.
Ability to work independently and as part of a team.
High attention to detail and strong organizational skills.
Previous experience in a sales-oriented or tourism-related environment is a plus.
