General Functions

Under the supervision of the Senior Manager of Governance, Risk and Compliance, this position assists in matters related to the Legal and Compliance Department and the Procurement Department. In addition to general administrative functions for the departments, the position assists in creating and preparing routine materials, proofreading, verifying, and editing materials for accuracy and clarity. Handles confidential information professionally and consistently with legal and ethical policies.

Major Activities (Typical Duties/Responsibilities)

Responsible for proofreading and ensuring formatting consistency and accuracy on time-sensitive, high-profile documents, including procurement filings, procurement notifications, and other procurement documents.

Operates with the highest level of confidentiality in matters related to legal, compliance, and procurement issues and actions.

Provides administrative assistance to the President/CEO upon occasion.

Provides secretarial support for correspondence, memoranda, and other word processing functions.

Prepares required federal and state notices and calendars deadlines, including tracking of expiring contracts and other procurement notices and deadlines.

Assists in development, implementation, and maintenance of contract databases, and logs.

Performs basic inter-company research of policies and procedures.

Performs a variety of legal, procurement and general administrative functions, including preparation of expense reports, arranging CLEs and other trainings, making travel arrangements, coordinating mailings, managing memberships and subscriptions, and photocopying.

Maintains department records and files, both electronically and in paper format.

Complies with all company policies, procedures, and programs.

Performs other related duties as assigned.

Education and Experience

Associate’s degree in business or related field preferred; experience can be substituted on a year for year basis.

Experience working in a legal, compliance or procurement setting preferred.

Four years of experience supporting a corporate office in an administrative or functionally related capacity.
