Office Hours: Monday – Friday 8 am -6 pm
Position objective: This essential team member meets the ongoing needs of The Concord, located at 1816 New Hampshire Ave NW. Success in this role emerges from building + maintaining strong relationships, project and time management finesse, dynamic problem solving and a strong commitment to excellence overall. Our team delivers best in class building management and are good at managing real time issues and emergencies while tracking projects and smaller scale tasks from beginning to end. Focus on systems, innovation and technology and old fashioned “reach out and touch” communications is the secret sauce in this role.
On Site Management of The Concord
Establish strong collaborative and proactive relationships with Board members + residents.
Become expert in the day-to-day needs of the association, including:
governance + administration
building systems and maintenance plans
Resident communications
Layout and access fluency that includes weekly walkthrough of buildings and report
Oversight and coordination of contracted maintenance including: life + safety inspections (sprinkler testing, fire extinguisher, fire panel testing, elevator testing + compliance, etc.). Building systems/facilities (back flow, hot water heater, common HVAC system, roof + gutter inspection and cleaning, etc.)
Respond to all submitted work orders within 24 hours
Support management of large scale/complicated projects, tap in-house project management team to handle
Daily package delivery into units, for those units that opt in to this service.
Building Board Fluency: Relationship with Boards, Owners + Residents
Establish strong collaborative and proactive relationships with Board members + residents
Manage governance issues
Participate in Board relations including: prepare for and attend Board meetings and annual meeting (no more than 5 meetings per year)
Offer regular communications to residents and board members including pro-active status reports on projects and anything impacting the building
Set-up and participate in new Board education mini sessions: Building Better Boards
Financial Management of Building
In collaboration with the finance team, the On Site Manager will:
review financial packages to understand monthly expenses and financial standing of the building
analyze building reserve study to understand long term financial needs of building
weekly review and approval of client bills; escalate any concerns to the finance team
Work with team in order to ensure that we are achieving the Roost Mission
Assists in positioning Roost as a professional property management company, including participating in educational opportunities, including but not limited to CAI annual conference + DC CAI annual conference, CAI education opportunities (e.g. M-100) and credentialing (e.g. CMCA)
Assists in positioning Roost as a professional property management company through interaction with clients, vendors and colleagues.
Serves on call based on Flock scheduling
Board policies may change and On Site Manager will be responsible to implement accordingly, which could mean changes to this job description or deliverables.

Ability to walk property and go up and down flights of stairs.
Ability to hear and speak well enough to converse verbally over the phone and in-person (expressing or exchanging ideas by means of the spoken or written word).
Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and easily.
Ability to see well enough to use the computer effectively and read written communications.
Ability to lift, push, pull or carry up to 40 pounds for the dissemination of documents, supplies, materials, packages, etc. to various locations throughout the community.
Ability to complete general office duties.
Work Environment
Condo Association environment.
Uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Outdoor environment when inspecting the property
Skills Required for Success
2+ years experience in property management and community association management
Strong written and verbal communication.
Strong attention to detail
Ability to solve an array of problems in real time
Outstanding account management skills
Superior organization and time management skills
Ability to work independently
Strong interpersonal skills
Knowledge of Apple systems
Ability to quickly learn software and tools including Dropbox, Appfolio, Homewise, Google Docs and Microsoft Office
