The Facility & Staffing Coordinator/Scheduler, reporting to the HR Manager, is responsible for managing the scheduling and staffing of healthcare professionals, ensuring adequate coverage across shifts while maintaining adherence to budgetary constraints. This role involves overseeing slot management, ensuring the position count aligns with approved staffing levels, and minimizing the need for overtime and agency staffing. The Facility & Staffing Coordinator will flex schedules based on census and patient needs to optimize efficiency and control labor costs.Key Responsibilities:

Develop and manage employee schedules to ensure appropriate staffing levels across all departments.

Oversee slot management and position count, ensuring alignment with budgeted staffing levels.

Monitor staffing levels and adjust schedules based on census fluctuations and patient needs.

Minimize overtime by optimizing shift coverage and workload distribution.

Reduce reliance on agency staffing by maintaining a pool of flexible staff and proactively managing internal resources.

Collaborate with department heads and nursing supervisors to forecast staffing needs based on census and anticipated patient volumes.

Ensure compliance with staffing policies, labor laws, and budgetary guidelines.

Track and report scheduling metrics, including overtime, agency use, and budget variances, to the HR Manager.

Assist with time-off requests, shift swaps, and schedule changes, ensuring appropriate approvals are obtained.

Support HR with maintaining accurate employee records related to scheduling, attendance, and timekeeping.

Contribute to workforce planning and resource allocation discussions with the HR and leadership team.

Perform other duties as assigned to support HR operations and overall organizational goals.

Qualifications:

High school diploma or equivalent (Associate’s or Bachelors degree in human resources or healthcare administration preferred).

Prior experience in healthcare scheduling or staff management in a hospital or clinical setting.

Strong organizational, time-management, and problem-solving skills.

Proficiency with scheduling software and timekeeping systems (experience with Kronos or similar systems is a plus).

Ability to work collaboratively and communicate effectively with healthcare staff, department heads, and leadership.

Attention to detail and ability to manage multiple priorities in a fast-paced environment.

Knowledge of healthcare labor regulations, including overtime and staffing requirements.
