Description We are looking to bring onboard an Accounts Payable Specialist in Portage, Wisconsin. This role mainly involves handling administrative duties in an office setting, processing daily production scheduling, managing accounts payable, and undertaking various processes as part of the office team. This position requires close collaboration with plant production and may necessitate weekend work when necessary.Responsibilities: Assign and match purchase orders with receiving documents and invoices Code invoices with the correct G/L number for payment Obtain necessary signatures, make copies, and prepare the upload spreadsheet for payment File copies of all A/P documentation Responsible for assembling capital appropriation approvals for payment to vendors Assist in answering phone calls and greeting all customers, suppliers, and visitors Accurately enter data into the accounting software system Prepare monthly reports for month-end close Oversee production scheduling, review weekly orders, and communicate product needs for production runs Purchase resale items and maintain appropriate inventories for production runs Use company computer systems to prepare a variety of reports, correspondence, and miscellaneous tasks, ensuring on time, accurate documents Establish and maintain computerized records system for departmental records, files, and reports, ensuring accuracy and timeliness Perform back-up office responsibilities as needed Requirements Proficiency in Accounting Software Systems Advanced knowledge of Microsoft Excel Familiarity with all Accounting Functions Experience in Accounts Payable (AP) procedures Ability to perform Data Entry tasks with accuracy and speed Previous experience in Administrative Assistance Understanding of Purchase Orders and their processing Experience in Code Invoices Ability to handle Answering Inbound Calls efficiently.
