Key Responsibilities:

- Serve as the first point of contact for clients and visitors, providing top-notch customer service.

- Manage daily office operations, including handling phone calls, emails, and correspondence with professionalism and discretion.

- Organize and maintain files, records, and databases with accuracy and confidentiality.

- Schedule and coordinate appointments, meetings, and travel arrangements for staff members.

- Prepare regular reports and summaries for various departments, ensuring timely delivery.

- Assist with billing issues, policy changes, and customer inquiries in a supportive role.

- Perform data entry and manage office supply inventory with efficiency.

- Collaborate with team members to ensure smooth office workflow and high-quality service delivery.

Required Skills and Qualifications:

- At least 2 years of experience in an administrative support role, preferably within the insurance or financial services industry. Medicare, Life, and Annuity insurance experience will be a plus.

- Exceptional customer service skills with a proven track record of handling customer inquiries and concerns with patience, empathy, and professionalism.

- Proficient in standard office software, such as Microsoft Office Suite (Word, Excel, PowerPoint), email, and databases. Salesforce experience will be a plus.

- Strong organizational skills, with the ability to prioritize tasks and manage time effectively.

- Excellent written and verbal communication skills, with an eye for detail.

- Ability to maintain confidentiality and exercise discretion in dealing with sensitive information.

- High school diploma or equivalent is required; additional qualification as an Administrative Assistant or Secretary will be a plus.

- Health & Life insurance licensed is not required but will increase pay ceiling.
