Description We are seeking an Executive Assistant to join our team based in Milwaukee, Wisconsin. In this role, you will provide administrative support to our executive team, manage daily schedules, and handle correspondence. This position offers a contract to hire employment opportunity in the financial services industry.Responsibilities: Manage the daily calendar of the executive management, scheduling meetings, conferences, and training as needed. Review, prioritize, and direct all incoming documents and calls for the Executive Team, responding or taking action as appropriate. Respond to correspondence from outside sources, independently composing letters and responses as needed. Coordinate and expedite processing of all letters, contracts, and documents requiring the executive management's attention. Plan and arrange travel for executive management, including researching schedules and itineraries. Provide administrative support for the executive management relating to professional organizations, boards, and committees. Maintain current and accurate records and rosters for the Board of Directors and board committees. Support the Board of Directors by taking and distributing minutes, organizing committees, and maintaining public files. Assist with the development and maintenance of the intranet site. Oversee the ordering, storage, and maintenance of office supplies for the organization. Attend staff meetings and training sessions to enhance and build administrative skills. Requirements Must hold a minimum of 5 years' experience in a similar role as an Executive Assistant. Proficiency in ADP - Financial Services is required. Skilled in using Cisco Webex Meetings for virtual meetings and collaboration. Experience with Concur for managing travel and expenses. Knowledge of CRM systems for maintaining client relationships. Familiarity with Kronos Timekeeping System for effective time management. Proficiency in About Time for project management purposes. Must have exceptional calendar management skills. Excellent communication skills, both verbal and written. Experience in coordinating conference calls. Proficiency in handling professional correspondence. Familiarity with Microsoft SharePoint for collaborative work. Experience with DocuSign for managing electronic agreements and contracts.
