Essential Duties & Responsibilities

Responsible for the purchasing of materials, equipment, services and supplies in the organization taking into consideration cost, quality and production time restraints. Additional responsibilities include email inquiries; verifying and entering information; tracking POs to fulfillment, facilitating supplier interactions, and completing internal project management tasks

Manage all aspects of Purchasing including but not limited to the following:

Purchase all goods and services used by the Company in its day-to-day operations including, but not limited to, raw materials, specialized tooling, shop and administrative supplies, and a wide range of services.

Receive and review Purchase Requisitions from in-shop technicians, field service technicians, engineers, and all other employees.

Generate purchase orders to vendors and monitor status for timely delivery.

Purchase products and services as required to include but not limited to the following:

Review initial request

Enter POs into System (ie Great Plains)

Respond to requests with acknowledgment and expectations for delivery timelines.

Track responses from suppliers to ensure timely and consistent communication.

Provide timely updates to vested internal personnel.

Ensure that purchasing documents are properly completed.

As required, establish and maintain Item Masters for reoccurring purchases.

As required, prepare status report(s).

Be the primary contact person for our large and specialized vendor base, develop an understanding of the vendor capabilities and maintain vendor relationships.

Research availability and sources of supply for specialty items.

Developing new vendor accounts and negotiate optimal pricing, payment terms and contracts.

Ensure adequate vendor alternatives within supply chain.

Reconcile invoice discrepancies and approve payments.

Work with others in the accounting department to ensure efficient and effective vendor procurement and payment processes.

Proactively identify and achieve cost reductions from our supply base.

Identify and help implement improvements in the Purchasing process while ensuring compliance with “best practices” and proper internal controls.

Requirements

Education

High school diploma or GED, required

2-year associate degree, preferred

Experience & Skills

Three to five years of progressively responsible related experience. Specifically, this position requires:

Experience purchasing materials or services for a manufacturing or technical services company.

Willingness and ability to work with and learn about a specialized supply base in a technical industry.

Willingness to work in a fast paced, customer service-oriented environment.

General knowledge of accounting principles and procedures as they relate to the purchasing functions.

Exceptional interpersonal communication skills.

Proficient ability to review and interpret mechanical drawings.

Experience with Microsoft Windows software (word, excel, ppt, etc)

Experience with Microsoft Great Plains Dynamics, a plus

Project management training and/or experience, preferred

Language Skills

Ability to read and interpret documents such as safety rules, production schedules, purchase orders, maintenance instructions, and procedure manuals. Ability to write reports, procedure manuals, and correspondence. Ability to communicate effectively with customers, vendors and other employees of the organization.

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where a wide variety of applications require individual solutions. Ability to interpret a mix of specifications and information furnished in written, verbal, diagram, or schedule form.

Extensive ability to multi-task in a fast-paced, ever-changing environment

Proficient ability to work effectively in a collaborative team environment

Proficient ability to solve problems using critical thinking skills

Proficient ability to organize and manage priorities, meet deadlines, and expectations

Proficient ability to follow through on projects from conception to completion.

Physical Demands

While performing the duties of this job, the employee is required to do the following:

Frequently sit and stand, use hands to enter data

Frequently talk or hear

Frequently stand and walk

Specific vision abilities: include close vision, depth perception, and the ability to adjust focus.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. These include: forklift traffic, overhead cranes, machining, welding, moving of mechanical parts and moderate noise. The majority of the work is performed indoors in a shop and office environment. Will spend a minimal amount of time outdoors in hot, cold, or otherwise inclement weather during part of the workweek.
