Position: Forward Learning Youth & Young Adults (FLYY) is a Madison based mental health nonprofit organization that is seeking to fill its Director of Operations position. The role is responsible for developing and implementing strategies to improve operational efficiency, drive business growth, and ensure the smooth running of its mental health services.

Job Overview:

Under the direction of the Executive Director, the Operations Director is a key leadership position at FLYY and will be responsible for financial operations, analyzing financial data and providing strategic financial guidance to the Executive Director and the broader leadership team. The Operations Director will have a day-to-day ongoing impact on business operations, helping to analyze, strategize and grow the FLYY's financial position.

Primary Financial Responsibilities:

Lead the annual budgeting process and ongoing financial planning initiatives including the preparation of revenue projections, expense projections and cost management strategies, and cash flow forecasting. Work with staff and the leadership team to implement the budget at the overall organizational and specific program level.

Lead for annual audit performed by outside third party auditors. Includes providing receipts and other saved documentation with respect to previous fiscal (calendar) year.

Work with the Executive Director to efficiently develop and oversee contract and grant compliance and reporting to drive the organizations financial strategies.

Present financial reports, projections, analysis, and recommendations to the leadership team, board of directors and others as required.

Evaluate and manage financial risks including identifying opportunities for cost reduction, revenue enhancement, and efficiency improvements.

Responsible for all financial management functions including cash management, billing, reimbursements, payroll and payables.

Monitor and report financial results including actual results compared to budget, expense targets and other financial and operational targets to ensure compliance with approved budgets, financial policies, and to agreed upon goals and metrics.

Develop and implement best practices and tools to ensure a well-controlled yet flexible organization that has strong fiscal management practices including appropriate and up to date financial policies and procedures.

Primary operations responsibilities:

Co-lead for QuickBooks, QuickBooks Time, Bill.com.

Co-lead for all website edits.

Lead for all operational subscriptions and ensuring staff have their necessary credentials.

Internal lead for benefits. Ensure the benefits management team has necessary information.

Lead for ordering supplies and lead for communication with all vendors.

Lead for troubleshooting work equipment issues such as staff phone and computers.

Knowledge, Skills and Abilities:

Must possess a thorough knowledge of current financial reporting and accounting practices and principles.

Strong financial analysis and modeling skills, with the ability to interpret complex financial data and provide strategic insights.

Demonstrated proficiency in professional judgment and ability to recognize and balance risk and mitigation strategies.

Proficiency in the use of QuickBooks as well as Word and Excel.

Excellent leadership, written and oral communication skills and strong and adaptable interpersonal skills.

Strong business acumen and the ability to align financial strategies with organizational goals.

Must take trauma informed training within the first year of employment.

Successful candidates will share space in our beautifully appointed facility on the south central side of Madison (technically Fitchburg) off of Rimrock Rd. The building is security locked, on bus lines, and offers off-street parking.

Pay: $65,000.00 - $70,000.00 per year
