The DRC of Yakima and Kittitas Counties is a non-profit organization that offers mediation services, training, and dispute resolution facilitation to individuals, organizations, and institutions in rural central Washington State. Our small team of dedicated professionals is committed to promoting effective conflict resolution and communication.

The DRC Administrative Assistant provides critical support to the Intake Specialist, the Office Manager/Bookkeeper, and the Assistant Director. The primary responsibilities of this role include mediation intake, scheduling, and payment processing, answering phones and emails, maintenance of social media accounts (in coordination with the Assistant Director), organization and management of files, documents, and email correspondences.

Job Title: Administrative Assistant - Part-Time

Organization: Dispute Resolution Center (DRC) of Yakima and Kittitas Counties

Location: Yakima DRC office

Position Type: Part-Time - 30 hours a week

Reports to: Executive Director/CEO

Responsibilities:

Mediation Support:

In coordination with the Intake Specialist and Assistant Director, schedule mediation sessions (and follow-up sessions) and coordinate with clients and mediators

Coordinate and maintain Mediator Schedule spreadsheet, conducting scheduling communications and conflict checks, pre-session orientations, and recording confirmed mediators in calendar and Case Load Manager (CLM)

Coordinate and schedule pre-facilitation meetings for contracted facilitations (large group mediations)

Complete and submit monthly reports to Assistant Director

Schedule follow-up mediations

Schedule and coordinate alternate mediation and facilitation spaces as needed

Assist in technical support needs of mediations and meetings

Process and complete Hardship Applications and Sliding Scale Applications: review, calculate wages per year, approve or deny as applicable, upload to CLM, and pass on

Process mediation payment(s) and make calls for collection of late mediation fees

Filing & Case Management:

Organize and maintain both physical and digital files

Ensure that all case documentation is complete and up to date

Maintain filing system for easy retrieval of information

Administrative Support:

Assist in scheduling meetings and appointments for the Assistant Director

Assist in creation and revision of mediation training materials

Coordinate with Assistant Director for social media campaigns and assist with outreach tasks

Draft and format documents, reports, and presentations as needed

Provide technical assistance to team members as required

Other duties as assigned

Minimum Qualifications:

High school degree or equivalent combination of experience, skills, and trainingparticularly previous administrative experience

Strong organizational and time management skills and attention to detail

Excellent written and verbal communication skills

Consistently arrive at work, meetings, and appointments on time

Ability to meet deadlines, fulfill commitments , and work well under pressure

Proficiency with Microsoft Office Suite and email management

Experience with Zoom, Teams, and other related software

Ability to work cooperatively and collaboratively with staff, volunteers, system partners, and community

Ability to maintain confidentiality

Appropriate use of cell phones

Appropriate/professional office dress

Ability to work a flexible schedule

Strong sense of initiative

A commitment to the mission and values of the DRC

Preferred Qualifications:

Bilingual in Spanish and English, written and spoken

Bachelor's degree or equivalent experience

Data management experience, i.e.: MS Access

Bookkeeping experience

Schedule and Compensation:

This is a part-time position, 30 hours per week

Compensation: $20 - $23.50 per hour, depending on experience.
