The Event Manager is responsible for the planning and execution of all events at the Siren Song winery and restaurant. Events include public, ticketed, and privately contracted events. Public events include but are not limited to our Summer Music Series, the Lake Chelan Wine and Jazz Festival, our participation in Lake Chelan Winterfest, Red Wine and Chocolate, Wine Country Christmas, and a variety of food and wine events throughout the year. The Event Planner will also work with our Wine Club Manager to plan and execute our Wine Club parties and support various release parties throughout the year.
Private Events also include weddings, corporate events, rehearsal dinners etc. In the role of Events Manager you are expected to work collaboratively with our other managers and be a brand ambassador to our customers. This role requires leadership among the staff, and accountability to Siren Song business metrics.
RESPONSIBILITIES & DUTIES
Create the “Game Plan” for each event including a detailed event timeline, floor-plan, staff assignments, banquet order, and set up requirements for all spaces
Provide “Day of” coordination for events and weddings, including leading wedding rehearsals
Determine staffing requirements for events
Confirm banquet orders with the Chef and Kitchen Manager
Develop the floor plan and décor requirements for events
Lead facility tours, close sales leads and support marketing activities for events
Follow operational policies and checklists for set up and take down of all events.
Understand how are point of sale and other software applications systems work to support payments and other operational systems
Collaborate with Winery Management Team to successfully manage staffing and transitions from regular operations, to event operations.
Oversee completion and documentation of sales inquiries, tours, large group reservations, banquet order, banquet permits, wine selections, wedding insurance, deposits etc. related to event and wedding bookings
Identify opportunities and help improve operational strategies to improve and scale our events business
Maintain, store, and provide updated counts on all event inventory and seasonal décor.
Provide a weekly status report on all pending projects and events
Meet deadlines consistently to ensure planning and procurement deadlines are met
Lead “pre-game” event huddles to ensure smooth set up execution and clean-up of events
Maintain lead status, up to date notes, and event details on Planning Pod
Ensure that events are fully and accurately noted inTeam Up
Meet with, communicate, and respond to clients as needed throughout the planning and deposit stages to ensure smooth event operation and ensure winery is 100% prepared to deliver all agreements
Maintain up to date pricing and boilerplate documentation for events
When required, work in the winery as a Guest Services Associate (GSA)
Represent Siren Song at external events, tastings, and recruiting activities
Interface with external vendors, musicians, florists, photographers, keg suppliers, etc.
RESPONSIBILITIES & DUTIES – ALCOHOL SERVICE
You must obtain a WSLCB Class 12 MAST permit in advance of hire.
Strictly adhere to all MAST rules and regulations regarding the service of alcohol.

You will be expected to pass a written and oral exam before being fully scheduled to work; you may be re-tested from time to time.
You will be expected to prepare and present a chosen wine topic to the winery team.

You are expected to be well-groomed, wear a clean and pressed uniform (to be provided), and comfortable, clean/polished shoes.
REQUIREMENTS
You must be at least 21 years old, have a social security card, and valid driver’s license.
Be physically capable of standing and serving customers for several hours each day.
Be physically capable of lifting and carrying 40 pounds.
Be physically capable of carrying trays with wine stems and plates.
Be able to multi-task in a fast-paced work environment.
