WEALTH MANAGEMENT RECEPTIONIST/ADMINISTRATIVE ASSISTANT (Wenatchee, WA)

QUALIFICATIONS

At least three years of administrative office experience with interest in wealth management and investments preferred.

Professional and highly organized with excellent time management skills in order to prioritize effectively.

Experience supporting multiple managers and advisors with the ability to work independently.

Critical thinking skills, good judgment and effective problem solving abilities.

High level skills in Word, Excel, PowerPoint and Outlook required.

Excellent oral and written communications skills.

Ability to quickly learn and adapt to various software platforms.

Strong decision making and attention to details.

Demonstrated integrity, transparency and accountability.

A strong work ethic, personal pride in work performance and positive, professional attitude.

Desire and focus to work in a fast-paced, cohesive team environment.

Ability to be flexible and adjust plans quickly to meet changing business needs.

Professional internal and external office etiquette.

RESPONSIBILITIES

Assist with answering phones, attend to clients inquiries and needs or direct to appropriate team member.

Assist receptionist with greeting clients and notifying team members of client arrivals.

Assist clients daily with scheduling and rescheduling, send client appointment reminder cards, and confirm client appointments for multiple advisors and CPAs with complex calendars.

Prepare client mailings and outgoing correspondence.

Send faxes and track receipts for internal record keeping.

Maintain client lists. Assist with clients address updates in multiple systems.

Complete preparation of client meeting reports on a daily basis.

Efficient and detailed work in client relationship management software.

Organize and maintain department workstation and supplies needed for team.

Monitor all electronic filing issues, maintain client records, establish new client folders finalize client set up.

Prepare, complex electronic client files in preparation of client meetings on a deadline with attention to detail.

Follow firm naming conventions and protocol to maintain the integrity of client data.

Request and obtain outside statements from clients in advance of meetings.

Communicate clearly and effectively with professionals regarding constant changing client needs and requests.

Prepare agenda for member meetings. Review agenda with Director in advance and make revisions as appropriate.

Maintain meeting rooms in preparation of upcoming client meetings.

Perform general administrative and support functions for the CPA firm.

Additional duties as assigned.
