Job Summary: Under the general supervision of the Business Operations & Project Controls Manager, the operations Assistant is responsible for various administrative tasks, functions, and duties. The Operations Assistant is responsible for providing support in the areas of operations, accounting, HR, IT, safety and contracts and risk to ensure smooth and efficient support within their assigned project. Skills: · High level attention to detail · Ability to multi-task, prioritize and manage competing priorities · Strong verbal and written communication skills · Ability to build strong and trusting relationships with all levels within the organization · Proficient in Microsoft applications with strong capabilities with Word and Excel · Self-motivated and able to work independently · Works effectively within a team environment Responsibilities: · General office administrative and project support as needed · Arrange travel (lodging, airfare, car rentals) for management and field personnel. · Manage shipping & receiving for the office and warehouses. · Provide support to the operations of the project. · Assist with project hiring and staffing needs. · Maintain project documents and folders daily with adequate document control processes in place. · Download weekly credit card receipts for project folders. · Manage company fuel cards to include issuance, tracking, usage review and coding. · Support home office accounting weekly/monthly close calendar i.e, vendor comms, receipts, project pm comms as requested. · Maintain Operations and Field crew list. · Maintain equipment tracking, certs as determined by project. · Support project specific reporting needs. · Assist with project start-up, operations, and close-out activities. · Provide support Home Office groups to facilitate tasks that need Regional support · Assist CRL by acquiring documentation/data as requested. · Assist HR with setting up new hires, getting I9’s completed. · Assist with dispatch, timekeeping, and payroll status changes of field employees. · Support Cultural leadership at regional level to include recognition of team members for birthdays, anniversaries, company events, etc. · Support and maintain the required compliance notices/posters at offices and jobsites. · Provide support to HSE regarding certification, drug screens, quarterly reports, DOT, etc. · Support for ISN badging, training, certs, reports as needed. · Support for Operator Qualifications (OQ) reporting to client as needed. · Coordinate, communicate, create, and maintain purchase orders in support of projects. · Ensure workflow processes are completed according to policy and guidelines. · Perform a daily review and distribution of employee timecards, foreman's reports, and equipment riders to shared services. · Review, provide coding, and acquire approvals for monthly cell phone invoice. Physical Demands Working Environment: · General office environment. · Prolonged period sitting at a desk and working on a computer. · Must be able to lift 20 pounds at a time.
