Associate Specialist, People & Organization Services

This will be a hybrid role based out of the Banfield Pet Hospital headquarters in Vancouver, WA. Salary Range: $24.59 - $33.81 (DOE)Summary and Qualifications: Ensure that hire-to-retire processes are properly conducted and completed for all Banfield associates, assuring a timely, quality execution and compliance with local, state, and federal laws.Provide support throughout the lifecycle of hiring and onboarding credentialed associates (i.e. DVMs and CVTs) while ensuring efficient and streamlined hiring for non-credentialed positions.Provide superior customer service through system coaching and training to line managers, field leadership and Central Team Support (CTS) partners, interfacing with internal and external contacts and performs assignments of a sensitive nature.Essential Responsibilities and Tasks:

Live and exemplify the Five Principles of Mars, Inc. within self and team.

Review, track, and approve all new hire and associate data transactions ensuring data accuracy and compliance with Banfield policies and employment laws; coordinate and track all credentialed new hire onboarding tasks, partnering with candidates, field leadership, and recruiters, to ensure a smooth onboarding experience and compliance with licensing and coaching policies.

Coordinate background check results by adjudicating or partnering with line managers, legal and Field P&O to determine company hire eligibility; verify all licenses for new hires.

Execute audits on data accuracy, correcting data as needed and raising issues with analysts to research further.

Oversee relocation requests and payments for doctors, partnering with Talent Acquisition, accounts payable, and relocation vendor; process costing updates; manage associate data accuracy, licensing, etc. during hospital relocations working with cross-functional teams to execute.

Audit and maintain associate records in compliance with labor and immigration laws, including I-9 and E-Verify. Partner with associates, line managers, and immigration team to ensure compliance with immigration laws; reviewing E-Verify results and follow up with line managers to process tentative non confirmations working through to final as needed.

Maintain and prioritize ServiceNow ticketing system to facilitate efficient transmission of requests, checking team inbox daily to distribute incoming work as needed.

Collaborate with other P&O teams and business units to support associate data maintenance in Workday.

Audit and coordinate payment of invoices for People Services and System needs.

Partner with legal and other P&O and finance teams to collect and distribute requested documents to attorneys regarding subpoenas.

Index, import, and audit associate documents in electronic filing systems.

Document and develop end user guides for own team and line managers, creating efficiencies, and improving end user experience, work with learning team on creation and maintenance of training videos and other end user materials; performing training for users, field leadership and recruiters.

Other job duties as assigned.

Special Working Conditions:

Ability to work at a computer for long periods of time.

Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.

Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.

Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.

Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.

Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.

The noise level in the work environment is normally moderate.

Experience, Education and/or Training:

Bachelor’s degree in Human Resources or Business Administration is required, or the equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.

Three years of Professional Human Resources, ATS/HR Systems or related experience are required.

Microsoft Office experience is required.

HRIS and/or ATS experience is preferred.

Workday experience is preferred.

Working knowledge of state and federal employment and labor legislation is preferred.
