We’re looking for a dedicated full-time Front Office receptionist to join our team and help us continue to deliver exceptional HVAC customer service to Hayden and surrounding areas.
Position: Front Office Receptionist
Location: On site (Hayden, ID)
Shift: Monday - Friday, 8:00 AM to 5:00 PM
Compensation: TBD
Position Type: Full-time (40 hours a week)
Position Summary:
The Front Office Receptionist is the first point of contact and the face of Border Sheet Metal & Heating. Duties include greeting and directing visitors, receiving mail, and scheduling appointments. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Key Responsibilities:
Scheduling appointments within the office
Greeting visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
Answering screening and forwarding incoming phone calls
Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Send out yearly service reminders to customers
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Other duties as assigned
Requirements/Qualifications:
Proven experience as an Front Office Receptionist or Administrative Assistant
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with email scheduling tools
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Professional attitude and appearance
Ability to be resourceful and proactive when issues arise
