ROLE: Executive Assistant

OPPORTUNITY: We are a small real estate team seeking a highly organized and detail oriented administrative professional to support our neurodivergent team lead and founder and join our team in Seattle, WA. This role will combine general business, real estate, and some personal support tasks, requiring a candidate who is versatile, dedicated, and has a strong commitment to the real estate industry.

WHERE+WHEN YOU’LL WORK: The Northgate area of Seattle, WA. Flexible days and times, typically within the Monday to Friday, 9:30am – 6:00pm range, with the occasional weekend thing thrown in. You’ll be heavily in-office with some opportunity for remote work. This could be full time or part time depending on your experience and skill set.

WHAT WE’LL PAY YOU:

$20-$25 per hour, paid W2, negotiable and completely depending on final job description. Additional benefits are negotiable, but include unlimited vacation/sick pay and a tremendous amount of flexibility. You will also be considered part of our real estate team and it is anticipated that you will have opportunities to develop your commission-based real estate business in addition to and alongside your W2 position.

YOUR BACKGROUND:

Licensed Agent in WA State, some experience preferred

1 to 2 years’ applicable experience in an office environment

Possess a valid driver’s license and vehicle

Familiar with CRM platforms, we will train for our specific one (Brivity)

Proficient with Windows based software, including MS Word, Excel, Etc.

Proficient with Google Suite online software, including Docs, Sheets, Drive, Etc.

YOUR BONUS SKILLS:

These are skills that would allow for an expanded role and more flexibility for the Founder/Lead Agent. We are NOT looking for a unicorn who is this whole list, but rather some combination that would allow us to expand your role and help us grow.

Graphic design experience (Adobe Suite and/or Canva expert – don’t come at me it’s the easiest for templates to share with people)

AI-curious and have a desire to use its tools to expand and streamline your tasks

Social Media experience

Sound or Visual editing experience

SEO and Internet Marketing experience

Bookkeeping or CPA-type background

WHAT YOU’LL BE DOING:

Proactively provide executive support to the Founder/Lead Agent in all aspects of their business, including but not limited to: their personal client follow-up and communication, building the team, scheduling meetings/appointments, managing access, and email/correspondence management

Assist with the development, implementation, and continuation of team initiatives, including but not limited to: trainings, systems, tools, podcasts, blogs, websites, videos, social profiles, coaching, and accountability programs

General errand running (sign markers, sign installs, keybox installs, food pick-up, etc) and showing agent-type responsibilities (inspections, showings, closings, open houses, events, etc)

Continuously expand your understanding of the market, industry practices, changing regulations, and emerging trends

Coordinate and assist in the production of printed materials, mailings, and key communication tools as needed

Plan logistics for conferences, workshops, meetings and events locally and nationally

General Marketing and Social Media creation and implementation (template-based)

Prepare listing presentations, market reports, and other listing, showing, or buying content as needed (also template-based)

Organize logistics and registration for trainings and webinars

Team reporting and data management

Assist with the organization, systemization, and management of the team’s databases, which may include lead coordination, nurturing, filtering, reporting, and updating as needed

Administration of back-end team onboarding tasks and training processes

Basic website content management to keep everything fresh and current

General calendar management for team activities

Maintain and organize records, documents, and internal/external communications

Maintain office supplies and materials

Support and maintain all team policies and procedures

Participate in weekly team script practice

Participate in team activities

Keep the Founder/Lead Agent informed regarding issues or problems that need to be handled and help develop solutions

Additional duties as required

WHO YOU’LL BE WORKING WITH:

The Founder/Lead Agent is a 20+ year veteran of the Seattle real estate industry. The team itself has ranged from 2-12 people, but currently sits at 3 souls. We need more and better leverage to grow the right way.

Your role would primarily be helping keep the Founder/Lead Agent on track and taking/keeping things off her plate. She is neurodivergent/ADHD, but very self-aware of her strengths and weaknesses and has been attempting to manage everything herself for too long at this point. For this role, this means that sometimes she will be managing you, and other times you may be managing her. She needs an “implementer” to her “visionary” and someone who will keep things on track to the finish line. It will be a relationship you develop together into something mutually beneficial. Hopefully wildly so.
