We are a well-established commercial flooring contractor located in Auburn, WA, seeking an Operations Manager/Executive Assistant who thrives in a fast-paced environment. This multifaceted role is crucial for overseeing daily operations, streamlining workflows, working directly with the owner, and implementing efficient processes. The ideal candidate will possess strong organizational skills, meticulous attention to detail, and a proactive mindset toward personal and company growth. Must have prior experience in the construction industry.

Roles & Responsibilities:

Office Management: Overseeing general office operations, including supplies inventory, equipment maintenance, and facility management.

Financial Administration: Ensuring A/R and A/P comply with contractual obligations, such as providing accurate documentation and reporting as required. Generating and submitting progress invoices based on project milestones or completion percentages as specified in the contract terms. Processing employee payroll with accuracy and compliance with labor laws and regulations.

Records Keeping: Ensuring compliance with regulations and maintaining accurate records related to projects, government contracts, finances, and personnel, including adherence to prevailing wage rates and other regulations.

Front-of-House Contact: Acting as the primary point of contact for clients, vendors, suppliers, and general contractors visiting or contacting the office.

Internal and External Communications: Handling phone calls, emails, and other correspondence, ensuring prompt and professional responses.

Client Relationship Management: Building and maintaining positive relationships with clients by addressing inquiries and providing assistance as needed.

Vendor and Supplier Interaction: Facilitating communication between the company and vendors/suppliers, including inquiries, orders, and delivery coordination efforts.

Administrative Support: Provide administrative assistance to the owner, project managers, contractors, and other team members to support project goals, deadlines, and efficiency, such as managing calendars, scheduling meetings, and coordinating job walks.

Requirements:

- 5+ years of experience in the construction industry - Flooring industry a plus!

- Understanding of government contracts and regulations.

- Ability to handle sensitive information with confidentiality and professionalism.

- Proficiency in accounting software and MS Suite.

- Strong analytical and problem-solving skills.

- Excellent communication and interpersonal skills.

- Ability to work independently and as part of a team.

- Detail-oriented with a high level of accuracy and attention to detail.

- Strong organizational and time management skills.
