ABOUT THE ROLE:

The Icertis Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. This role requires a high level of organization, communication, and problem-solving skills to support the company’s operations. The Office Manager is required to be work in the office daily and may require occasional overtime or weekend work.

Responsibilities

Office Administration:

Oversee and manage office layout, and ensure a clean and tidy office environment.

Organize office operations and procedures.

Partner with the building management for building safety and operations.

Maintain the kitchen cleanliness and stock of beverages, snacks, utensils, plates and food for the office.

Manage the ordering, set up and clean up of daily lunch.

Manage office supplies inventory and place orders as necessary.

Maintain office equipment and arrange for necessary repairs.

Receive, organize and distribute mail, packages, and equipment tracking.

Manage office budget and expense reports.

Monitor and record office expenditures.

Front Desk Operations:

Greet employees, clients, candidates, and other visitors.

Follow security procedures for recording guests, suppliers, and other visitors.

Arrange hospitality services for guests such as transportation, tickets, and/or hotel.

Receive and direct incoming calls and voicemails to appropriate personnel.

Manage the company swag and send it to new employees.

Support IT with sending out laptops and other equipment to employees.

Handle confidential information with discretion.

Ensure the office remains compliant with all regulations and company policies.

Organize company events, meetings, volunteering, etc.

Perform other duties as assigned.

Qualifications

Bachelor’s Degree preferred.

2+ years of experience as an Office Manager or Front Office Manager preferred.

1+ years of experience as a Front Desk Receptionist preffered.

Knowledge of office administrator responsibilities, systems, and procedures.

Proficiency in MS Office (MS Excel and MS Outlook, in particular).

Excellent time management skills and the ability to prioritize work.

Attention to detail and problem-solving skills.

Excellent written and verbal communication skills.

Strong organizational and planning skills in a fast-paced environment.

A creative mind with an ability to suggest improvements.

Salary range and description

Min $25/hr. - Max $35/hr.

Pay offered will vary based on job-related factors such as location, experience, training, skills, and abilities. In addition to the hourly salary and annual bonus target, an equity component is included in the compensation package.
