Pay Range: $61,000 - $65,000 Dependent on Experience

Your Role.

The Bear Creek School is currently seeking to add a member to our front office team!

We are seeking an individual who will…

Coordinate and support day-to-day school administrative functions.

Operate electronic entry system and ensure all visitors are registered in the visitor log, met by appropriate school personnel and accompanied through the school.

Ability to work from any of the three school campuses.

Operate phone system and maintain up-to-date voicemail messages.

Proficient in Microsoft Office Applications including but not limited to Outlook, Word, Excel, Teams.

Maintain confidentiality and security of student record files.

Participate in specific roles in the event of emergencies according to the Emergency Response Plan.

Provide back-up support to the Attendance Coordinator.

Manage training of substitute receptionists.

Assist with other general office functions as availability allows and under the direction of the Executive Assistant.

Work with office supplies vendors to maintain competitive pricing.

Be point of contact for specific outside vendors, coordinating details across other divisions and/or departments.

Book travel arrangements for interview candidates and employee professional development.

Oversee ordering of student, family, and employee gifts as needed.

Manage and track spending and budgets for office supplies.

Secondary Responsibilities

Keep front desk area stocked, clean, and orderly.

Make coffee and stock staff lounge area.

Order office supplies and approve workroom supply orders.

Sort and distribute mail and deliveries.

Operate and stock copier, fax machine, shredder, postage meter, visitor login system, and other office equipment as needed.

Supervisory Responsibilities

Supervise front office staff at all three campuses including: all full-time and part-time Office Assistants and the Attendance Coordinator.

Manage break schedules to ensure appropriate coverage.

Review and approve timecards.

Schedule regular one-on-one meetings with direct reports.

Conduct performance evaluation meetings annually with each direct report.

Lead goal setting for each direct report and follow up on completion.

Assist with hiring process for open direct report positions.

Provide oversite of team projects.

Ensure consistency in processes across campuses.

Performs other related duties as assigned.

The successful individual in this position will:

Required Experience and Education.

Currently held CPR/AED/First Aid Certification (with Epinephrine Auto Injector supplement included), or arrangements made to obtain certification within 90 days of employment start date.

Applicants must be currently authorized to work in the United States for any employer. No sponsorship is available for this position.

High school diploma.

Minimum of 3 years previous office experience, preferably in school setting.

Previous management experience.

Proficient in Office 365 applications.

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
