We're seeking a highly organized and enthusiastic Office Administrator to be the central hub of our operations. You'll manage daily office tasks, including customer and vendor interactions and inventory, while providing essential support to our team and clients. This role demands a proactive and organized individual who can streamline workflows, maintain a welcoming environment, and efficiently handle customer inquiries related to our powder coating and painting services. Hours: Full-time, Monday through Friday, 8:00 AM to 4:30 PM
Job Responsibilities and Tasks:
Oversee daily office operations, including answering and fielding phone calls, customer and vendor relations and supply management.
Have a basic understanding of our shop offerings and be able to assist customers with powder coating and painting questions (and/or field questions as needed).
Work with current and new customers on incoming questions, order status updates and manage our external email alias.
Fulfill and track customer sample color requests and submit color requests to vendors.
Maintain accurate inventory of office, shop and powder supplies by responsibly purchasing and tracking replacements when inventory becomes low.
Organize and manage color display in front office and work with shop/vendors to back fill or replace sample panels as needed.
Manage truck driver’s weekly pick-up and delivery schedule and communicate schedule with customers.
Maintain company “Job Board” production schedule and create supporting documents as needed.
Perform administrative tasks such as filing, data entry and preparing documents.
Provide administrative assistance to leadership and staff, ensuring everyone has what they need to excel.
Develop and implement systems to improve administrative efficiency and communication.
Maintain a clean and organized reception area that reflects the company’s commitment to high standards
Skills and Qualifications:
Excellent verbal and written communication skills, especially when working with customers and vendors.
Proven experience in office administration or related roles.
Exceptional organizational skills and attention to detail.
The ability to pivot quickly and act proactively in a fast-moving environment and manage multiple priorities effectively.
Basic understanding of office tools and software, including Microsoft Office Suite (Microsoft Word, Excel, etc.), a plus if you’re familiar with QuickBooks.
A plus if you have background or interest in industrial powder coating or painting
A high school diploma or equivalent is required; an associate or bachelor’s degree in a related field is a plus.
