POSITION SUMMARY

The position of “Office Manager” reports directly to Ownership, maintains accurate financials, oversees office supplies and acts as the primary operator of the company landline.

HOURS:

7:00 AM - 3:30 PM Monday through Friday

POSITION DETAILS / RESPONSIBILITIES

· Enter accounts payable (billing, charges) and accounts receivable (invoices, payments) to QuickBooks Online accounting software.

· Run bi-weekly payroll using QuickBooks Online payroll software (12 employees)

· File monthly Department of Revenue B&O / Sales Tax

· File Quarterly City B&O Tax

· Quarterly payroll taxes and annual business tax filing done by outside CPA – working with CPA to answer any bookkeeping inquiries.

· Monthly reconciliation of company bank, credit card and cash accounts

· Administer company benefit premiums / payroll deductions (medical, dental, vision, retirement, garnishments, etc.)

· Answering multi-line company landline; directing calls to requested team members, answering general questions, accepting payments.

· Maintaining ideal level of office supplies; ordering through preferred vendors.

· Processing and completing paperwork related to job progress (estimates, sales orders, shipping progress and invoices).

· Provide administrative support to sales team; filing, copying and scanning documents as needed.

· Monitoring primary company email inbox

REQUIREMENTS

· High School Diploma or equivalent

· 3+ years experience in bookkeeping

· Proficient in Microsoft Suite (Excel, Word, Outlook)

· Previous experience working with QuickBooks Online

· 3+ years working in customer service
