The mission of the Phinney Neighborhood Association (PNA) is to build, engage, and support our diverse community through programs, services, and activities that connect neighbors and foster civic engagement.

Position Overview

The PNA Administrative Coordinator Evening position is hourly, responsible for renter relations, general administrative support, and provide support to PNA programs as needed. The role reports to the Central Office Manager.

This dynamic position holds a primary community facing role in the organization, providing customer support, creating and maintaining relationships. This essential team player needs to be adaptable while representing the PNA with a positive welcoming attitude, and a sense of humor with all stakeholders, including members, staff, volunteers, community partners, and the public.

Essential Responsibilities

· Understand the PNA mission and values with the goal of representing them.

· On-site point of contact for renters.

o Prior to rental - showing rooms, answering questions about room setup, ADA access.

o At time of rental - welcome, set expectations, share emergency procedures and rules, cover room set up and break down, then wrapping up when they finish. Ensure the rooms are ready for the next renter.

o After rental - report any concerns, as well as successes, in the Daily Report.

o Examine the sound system ensuring it’s ready for the next user.

· Coordinate with Clubs, Classes and partners we serve as a Host Site.

· Provide general support as needed to maintain the buildings, rooms, and restrooms.

· Respond to inquiries about rentals, membership, events, and programs.

· Process payments for rentals, membership, classes, events, and donations.

· Schedule same-day room rentals, collect, record, and submit rental payments. Show rooms to potential renters.

Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

· Greet, welcome, and respond to community members. Provide the public with general information about the PNA and assist them with requests when possible.

· Develop knowledge of PNA programs, policies, and staff to confidently respond to community members.

· Provide administrative support to PNA programs and employees.

· Distribute deliveries, sort and process mail for staff, programs and lease tenants.

· Maintain records, databases, organizational contact sheets and charts.

· Perform general office duties.

Qualifications

At least four years of administrative assistant experience with an excellent customer service background.

Uses sound judgement as a detailed oriented self-starter. Excels in a collaborative team setting, as well as working solo

Experience working in a community center or nonprofit setting preferred.

Embrace working with a broad spectrum of community members and staff.

Understanding of racial equity, and social justice principles with the ability to apply this knowledge to daily work.

Actively contribute to team building initiatives and promote a collaborative and positive atmosphere that enhances the overall success of the PNA team.

Compensation

This is a 30 hour per week, 3pm-9pm Monday-Friday, with occasional additional hours as needed, position paying $23-$25/hour DOE. Benefits include: health insurance; 401(k) plan with employer match; long-term disability insurance; a flexible spending account; a free PNA household membership with reduced costs for classes and room rentals; 3 weeks personal time off the first year, increasing annually; Christmas Eve – New Year’s Day off; and 8 paid holidays (total paid time off first year: 5.5 weeks). About the Phinney Neighborhood Association

Headquartered in a former elementary school, the PNA has developed an active community center that not only serves as a focus of the Phinney/Greenwood neighborhood, but also offers programs and activities that reach far beyond the immediate neighborhood, at four different sites in Phinney, Greenwood, and Ballard. Current programs include two preschool cooperatives, a licensed preschool and school age program at Whittier Elementary School, a hot meal program, the Greenwood Senior Center, PNA Village, a tool lending library, a business membership program, family memberships, room rentals, and countless special events that bring friends and neighbors together. We co-sponsor a summer farmers market, weekly folk music concerts, and other community events. The PNA serves over 23,000 people each year, has 70 staff, 1,100 volunteers, and an annual budget of $3.6 million.
