Accounts Payable Associate

We are seeking a highly organized and detail-oriented Accounts Payable Associate to join our dynamic team. The ideal candidate will provide exceptional support to the Property Management Team, ensuring the smooth functioning of our office. The successful applicant will have a strong background in accounting and administrative roles, with experience in a Property, Condominium and HOA management setting. This role requires a motivated individual with excellent communication skills, who can thrive in a fast-paced environment and provide exceptional customer service.

Duties:

Full cycle accounts payable – Managing incoming invoices from receipt to payment in a timely and accurate manner.

Manage the approval process in accordance with our internal policy to ensure all expenses are valid with appropriate back up documentation.

Maintain vendor records, including obtaining W-9’s from new vendors and updating records with tax status and Tax Id numbers.

Managing recurring invoices and ensuring all payments are issued in a timely manner.

Research transactions as necessary to provide accurate accounting codes and back up documentation.

Resolve all AP related issues and questions, escalating when appropriate.

Manage/process weekly check run process.

Research status of uncashed checks, place stop payments, and re-issue when warranted.

Works closely with other administrative staff and supports other colleagues as needed.

Ensures that deadlines are met and adapts to changing priorities.

Other tasks as assigned.

Qualifications:

Experience in a Condominium/HOA or Property management environment is preferred.

Strong computer literacy skills, including proficiency in Microsoft Office, Outlook, Adobe and Excel.

Experience/knowledge of Village Management Software a plus.

Excellent organizational and communication skills.

Ability to work effectively in a fast-paced environment.

Strong attention to detail and ability to maintain accuracy.

High school diploma or equivalent required.

Two plus years related experience preferred.
