Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $67 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development. Psychiatry is the third largest department in the School of Medicine and the largest non-divisioned department. The overall annual operations funding from all sources is over $130 million.The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity for an HR Coordinator. DUTIES AND RESPONSIBILITIES 80% Staff Human Resources Support
Assist with the full scope of recruitments for permanent, temporary, and hourly staff and student positions.
Assist with the review and creation of HR-related actions in Workday, the UW’s Human Resources & Payroll system of record, for staff and undergraduate student employment, including posting openings, compensation changes, employee information changes, hiring, personnel changes, and terminations.
Manage job requisitions in UWHires, a UW proprietary applicant tracking system.
Process new hires and onboarding paperwork.
Assists with the onboarding process for newly hired employees by creating a tracking system for required trainings.
Track and maintain telework agreements for new and transferring staff, including: ensuring agreements are on file and approved by VP of HR, if applicable, maintaining Workday to reflect correct home and work locations, and audit telework flag in Workday.
Ensure compliance with University, School of Medicine, and Department HR policies, as well as applicable state and federal laws throughout the recruitment and selection process.
Assist with the creation and review of required forms and records, background check requests, tracking, and management of volunteers and student workforce members in compliance with Department, School of Medicine, and University polices and procedures.
Assist with data corrections and time and absence requests.
Maintain and request Department training records for new and existing workforce members.
Interpret, explain and apply established organization and human resource guidelines, rules, policies and procedures related to staff and student employees.20% Administrative Support
Assist with managing the Staff HR shared email including categorizing, responding to requests, and notifying Staff HR team of urgent issues.
Manage PsycSource, the ticketing system for Staff HR requests, ticket queue.
Respond to WMWA threshold inquiries from UW HR Compensation, including contacting supervisors for accuracy.
Serve as point person for HR related records retention questions.
Maintains accurate and up-to-date files for the HR department.
Serve on the Staff Service Award program committee. Some duties include forwarding award notifications to employees and supervisors; ordering and delivering awards; maintaining award and Dean’s recognition correspondence and records. Local contact for Service Award questions for all staff.
Main point of contact to manage I-9 compliance for staff and students, including in-person verification of I-9 documents.
Respond to inquiries and route to the appropriate people as needed.
Assist with data and document management and related tasks as needed.
Perform related duties as assigned.MINIMUM REQUIREMENTS High School diploma or GED certificate AND two years of office/clerical experience including at least six months of experience in a human resources or related setting OR equivalent education/experience.DESIRED QUALIFICATIONS Proficiency with UW HR/Payroll systems, including Workday and UWHires.University of Washington is an affirmative action and equal opportunity employer.
