This position serves as the primary program support to the department’s Research Administration team and research leadership team. They will work closely with Grants Managers who each manage a portfolio of faculty researchers, as well as assisting with tasks that the team handles for all faculty in the department.As the second largest department in the UW School of Medicine, the Department of Pediatrics is dedicated to improving the health of all children and adolescents by educating physician leaders of the future, advancing research, advocating for children, and providing the nation's best pediatric clinical care. We are committed to building a diverse and inclusive faculty and staff.The Research Administration team manages all research-based budgets and grant management at the University of Washington for 35 faculty members with division affiliation without other administrative support and between 8-12 trainees/fellows, as well as substantial inter-institutional contracts for faculty effort.DUTIES AND RESPONSIBILITIES Research Operations Support and Request Management: Manage projects identified annually by Vice Chair to address strategic priorities.
Maintain oversight of requests to Research Administration team, such as for new or modified Staff Assignment Agreements, Reduced Responsibility forms, and cost share approvals.
Ensure requests are communicated to the appropriate individuals to handle them, follow up to ensure tasks are completed, and ensure completed documents are sent to the requestor.
Create, maintain, and track tasks/projects in MS Teams project management system.Process Improvement and Report Auditing: Generate tools, templates, checklists, and process outlines in collaboration with Grant Managers and Administrator for Research.
Manage signature authority process, including updating and maintaining signature authority documents for all principal investigators and grant worktags.
Manage reporting updates on behalf of the team’s Grant Managers.
Run monthly/quarterly Workday reports of indirect cost return funds, detailed grant expenditures, etc.
Enter costing allocations and payroll accounting adjustments into Workday, review updated budget projections and flag potential issues and review ECC reports for accuracy.
Manage billing process for internal service centers.Grant Documentation Support: Support faculty investigator needs such as generating and updating Other Support documents.
Manage training grant data collection.
Manage small internal awards and internal gift funds including budget projections, progress and financial reporting, etc.
Manage tuition payment process for grant funded trainees.Administrative Support: Schedule team meetings, organize annual on-site retreat.
Monitor team email inbox (pedsgrant).
Keep files organized in MS Teams and department shared file server.
Other duties as assigned.MINIMUM REQUIREMENTS Requires High School/GED AND four years of office or administrative support experience OR equivalent education/experience.DESIRED QUALIFICATIONS Interest in learning more about research administration and grants management highly desired.
Experience with MS suite including Office, Outlook, and Teams.
Experience with accounting and/or finance management.
Highly organized with strong attention to detail.
Ability to work well both independently and collaboratively.
