It houses a dynamic combination of science and policy programs. Its programs in oceanography, atmospheric sciences and geosciences are consistently highly ranked.The College of the Environment has an exciting opening for an Executive Assistant. This is a full-time, permanent position. The Executive Assistant oversees the day-to-day management of the College of the Environment’s Advancement operations, leads and coordinates special projects and serves as the Associate Dean’s primary assistant. The Executive Assistant also serves as a liaison between the Associate Dean various leadership, advancement and external stakeholders across the College and University. This position offers valuable advancement experience and the opportunity to hone collaborative project skills in a team setting.What you will do Oversight and Management of Operations (50%)

Manage the Associate Dean’s calendar, including scheduling meetings with College leadership, current and prospective donors, and prioritizing requests based on importance.

Ensure that relevant College leaders are fully briefed on agenda items and have received all required materials for engagements.

Lead and coordinate special projects on behalf of the Associate Dean and the College’s Advancement team.

Arrange and coordinate leadership and all-hands meetings, including taking meeting minutes and handling follow-up action items, as delegated.

Oversee and manage the team’s budget, exercising delegated budget authority and acting on the Associate Dean’s behalf on financial and budget matters.

Process invoices, reimbursements and other financial transactions accurately and in accordance with UW guidelines.Corporate and Foundation Relations and College Advisory Board Relations support (20%)

Support the Director of Corporate and Foundation Relations, including organizing meetings, drafting correspondence and other communications and coordinating campus visits and events.

Oversee the planning and execution of periodic board meetings. Work directly with the College leadership and the Board Chair to set and coordinate the agenda, invite guests, secure speakers and compile and disseminate meeting information.Research and Analysis (15%)

Conduct ad hoc research on donors; write reports, briefings, proposals and other substantive communications related to Advancement initiatives.Travel, Event Planning & Meetings (15%)

Collaborate with College Advancement staff on planning trips. Make travel recommendations in accordance with UW policies and book arrangements and reservations, as requested.Other duties as assigned.What You Bring:

Proficient in Microsoft Office and experience with a broad range of technology and systems.

Reliable transportation for local travel.

Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.MINIMUM REQUIREMENTS:

Bachelor’s degree and two years of experience in administrative support or related field.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. What You Can Expect:
