This position works under general direction in the Enrollment Services department performing a variety of complex admissions, registration and records functions to include but not limited to processing admissions applications, registration, transcripts, and managing other student records. In addition, a primary responsibility of this position is managing all grades for the District, including posting of grades and grade changes. This position has sole responsibility for processing and sending transcripts to various entities. The incumbent is required to have specialized technical skills to support students, staff and the community with admissions and registration functions. They provide support for resolving complex problems and provide training to support program participation with technical tools. Additionally, they work with students to support equitable access and successful educational outcomes to support systemically non-dominant students through the admissions journey to enrollment.

Essential Functions:
Direct Student Support
Provide holistic and culturally sustainable support services to new, continuing and returning students to ensure a sense of belonging for all students.
Serve as a primary contact in the areas of admissions, residency, enrollment, records and general information.
Independently follow college and state policies and procedures to actively guide applicants through the admissions and enrollment process, providing information, support, and resources to engage in the process. Maintain up to date expertise in these areas in order to perform job duties and communicate with constituents.
Independently resolve complex admissions and registration issues; analyze and evaluate the issues, identify cause, and take corrective action to ensure students can complete processes.
Provide training for applicants, students, and the community on using the Online Admissions Application Portal (OAAP) and ctcLink technology tools.
Reach out to applicants who do not complete the admissions process, identify and clear barriers, and move applicant to completion.
Process admissions applications utilizing database management systems, sequential reasoning, and high attention to detail. Communicate with students to complete discrepant or missing information on applications. Independently identify and resolve issues, following college and state policies and procedures.
Develop work plan to efficiently process high volume of daily admissions applications.
Communicate admission policies and processes to prospective students, staff and community members; serve as a point of contact for applicants, responding to questions, gathering information, and making referrals as needed.
Conduct residency reviews following State laws and guidelines; independently make decisions; notify students of decision.
Engage with new students to support their intake journey, provide encouragement and assistance with tools that help them prepare for their initial academic advising session; support students in completion of New Student Guide and the Intake Survey.
Independently assist students in using and understanding class catalogs, class schedules, and ctcLink; advise students on enrollment options; help students navigate the Pierce College website.
Interpret and follow guidelines, regulations, policies and procedures in order to process enrollment tasks and to provide information and assistance regarding programs, services and activities to students, staff and the public.
Independently process enrollment requests, such as adds, drops and withdrawals, repeats, and milestones; apply enrollment request details, such as action reason, overrides, grade changes; anticipate potential conflicts and resolve enrollment issues.
Quarterly, for the District (all classes) process quarterly grades. Support faculty with entering and posting grades and guide and support faculty on how to enter grades. Independently identify any issues that faculty have with entering grades and find resolution; track class grades to ensure that all grades are entered on the prescribed timeline. Enter grade changes as submitted by faculty and/or other processes.
Serve as District processor for all transcript requests. Use Parchment tool as well as individual requests. Identify any issues/discrepancies for sending transcripts prior to sending and work to resolve; communicate with students as required.
Run processes, report queries and ctcLink actions such as unofficial transcripts, class rosters, repeat jobs, waitlist processes and grades; assist with data reviews and data clean up.
Collect and process release forms, student personal data changes, petitions, and others documents; review for completeness. Track supporting documentation and record as verified.
Problem solves day-to-day issues and concerns; find solutions and alternatives; make recommendations and/or referrals.
Maintain working knowledge about funding resources such as Financial Aid, tuition waivers, and Veteran education benefit resources
Maintain knowledge about programs and courses offered by Pierce College.
Support to Customer Service and Engagement
Actively support, engage in, and work to advance Pierce College's goals for equity and commitment to antiracism in order to provide access and support for our diverse community of learners.
Provide culturally appropriate support and services to advance belonging, engagement and success of students, especially marginalized and minoritized students.
Provide a welcoming environment where students feel a sense of belonging.
Serve as a point of contact for students, faculty, and the community, responding to questions, and making referrals as needed.
Communicate in-person, via zoom rooms or Teams, email, phone to provide assistance and support in a culturally affirming manner. Respond to inquiries and assist students, staff and the public accordingly.
Support other team members during peak cycles. Partner with other colleagues to address complex student issues.
Compile data on application attrition and identify emerging trends; engage in discussion with Director of Enrollment Services on improving processes and removing institutional barriers.
Assist the Director with providing the college community with concerns impacting students and supporting change.
Participate in external engagement efforts such as community open house events.
Department Support
Contribute to the overall goals, services and activities of Student Services.
Provide back up support for Enrollment Services areas, staff, services and activities.
Confer with colleagues across the district to ensure materials, procedures, services and activities are consistent.
Participate in district shared governance through committee participation and/or other engagement.
Attend meetings, trainings, professional development, district events, etc., as a representative of Enrollment Services programs, services and activities. Trainothers.
Ensure communications, correspondence and program materials contain accurate and up-to-dateinformation.
Maintain an up-to-date procedure manual and share drive folders.
Consistent, regular and punctual attendance at work.

Required Education:
Associate's Degree from an accredited college or university OR equivalent work experience, in addition to the required experience, in an educational environment providing direct student support or in an agency or school setting managing a client caseload.
Education to Experience Equivalences: Associates Degree = 2 years | Bachelors Degree = 4 years | Masters Degree = 5 years
Required Experience:
Two years of experience working in an educational environment providing direct student support or two years of experience in an agency or school setting managing a client caseload.
Demonstrated experience providing culturally responsive services and assistance in person, via email, phone and zoom/teams.
Demonstrated experience assisting individuals in complex problem solving, identifying needs, and exploring options.
Commitment to engaging in the advancement of equity, diversity, and inclusion in higher education and serving resilient students who have been historically marginalized
Knowledge and ability to interpret and explain policies and procedures.
Experience working with electronic information management systems/database software.
