We are looking for a reliable, motivated team member who can support project delivery and estimating operations.
Position Overview
The Project Coordinator / Estimator plays a hybrid role supporting both preconstruction and project execution.
This person will assist in estimating retrofit scopes, preparing proposals, coordinating subcontractors, tracking utility incentives, and ensuring projects are delivered on time and within budget.

Key Responsibilities
Estimating / Preconstruction
Perform lighting audits and other on-site assessments.
Prepare takeoffs, material lists, and cost estimates for retrofit projects (lighting, HVAC, controls, etc.).
Coordinate with vendors and subcontractors to obtain quotes.
Assist in writing proposals and compiling supporting documents for clients and rebate programs.
Track bid opportunities and maintain estimating database.
Project Coordination
Schedule and coordinate subcontractors, deliveries, and inspections.
Maintain project documentation: submittals, change orders, RFIs, and closeout materials.
Track project budgets, timelines, and completion reports.
Support rebate/incentive documentation for utility programs.
Communicate with clients, vendors, and field personnel to ensure smooth execution.
Administrative Support
Maintain organized digital project folders.
Assist with invoicing, job costing, and time tracking.
Update project status reports for weekly owner review.
Qualifications
Preferred: 1+ years of experience in construction, electrical contracting, or energy retrofit industry.
Strong organizational skills and attention to detail.
Working knowledge of MS Excel, Word, and construction management software (e.g., Zoho Projects or similar).
Preferred: Understanding of energy-efficiency measures (lighting & controls).
Excellent written and verbal communication.
Comfortable managing multiple small projects simultaneously.
Valid driver’s license and ability to visit project sites as needed.
Compensation and Benefits
Component Description
Base Salary $50,000–$60,000 per year (depending on experience)
Win/Close Bonus 0.5%–1.0% of total project value for jobs you helped estimate that are awarded and started.
Project Performance Bonus Up to $250 per project successfully completed on-time, on-budget, and with all documentation submitted.
Annual Company Bonus Up to $5,000 based on company-wide profitability and margin targets.
Benefits Paid time off (2 weeks to start), mileage reimbursement, laptop/phone allowance, flexible schedule, and professional development support.
Bonuses are paid quarterly upon receipt of customer payment and project closeout confirmation.
Performance Metrics
Maintain ≥ 95% on-time project completion rate.
Meet or exceed estimated gross margins on at least 80% of projects.
Submit 100% of required documentation for rebates and project closeout.
Achieve minimum 25% proposal win rate for projects you assist in estimating.
Trial Period
Initial 90-day probationary period to confirm fit and performance.
During this time, base salary is paid; bonuses begin after successful completion of probation.
Growth Opportunity
As the company grows, this position may evolve into Project Manager or Senior Estimator, with expanded responsibilities and higher base + commission potential.
