Administrative Accounting Assistant

The Administrative Accounting Assistant completes payments, assists with reconciling accounts to ensure their accuracy and controls expenses by receiving, processing, verifying and reconciling invoices. Answers multi line phone system and acts as front desk coordinator.

● Daily, accurate inputting of accounts payable and accounts receivable

● Strict adherence to company coding policy to ensure accuracy of all data

● Review all invoices for appropriate documentation and approval prior to payment

● Prioritize invoices according to payment terms

● Process check runs

● Complete specialized reports monthly

● Responsible for processing owner payments

● Assist with audit and process of credit card bills, including Visa and Office Depot

● Responsible for daily bank deposits, either remotely or in person

● Match invoices to checks, obtain all signatures for checks and distribute checks accordingly

● Respond to all vendor inquiries

● Reconcile vendor statements, research and correct discrepancies

● Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices

● Follow standard filing procedures set forth by Company

● Receipt rent payments

● Enter on-site and corporate maintenance staff Visa receipts according to monthly statement

● Verifies vendor accounts by reconciling monthly statements and related transactions

● Responsible for owner payments and management fees

● Performs other job duties as assigned

Physical Demands:

Physical demands include the ability to lift up to 50 pounds. Employee will be regularly required to sit, stand, walk, reach using feet, legs, back, arms and hands; talk and hear. Employee may occasionally be required to climb. Employee will be required to work at a personal computer and talk on the phone for extended periods of time. Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed.
