Job description

We are a full service structural concrete subcontractor located in Maltby/Snohomish, WA. We are looking for a detail-oriented Accounting Clerk/Office Manager to join our team. This is a long-term, part-time position that is 100% in office. This is a rare job opportunity, as our company experiences exceptionally low turnover.

Job Summary:

The Accounting Clerk/Office Manager will be the key owner of accounts payable and weekly payroll processes. This individual will be focused on providing timely and accurate financial record-keeping. A successful candidate is detailed-oriented, works well unsupervised and has experience with union payroll and job cost accounting. This individual should have strong problem-solving skills and continually provide excellent customer service to both our team and our external contacts.

Primary responsibilities will be all A/P functions and payroll processing. Other duties will include reception and misc. office tasks.

Responsibilities

AP:

Manage accounts payable process, including invoice approval, coding invoices, processing invoices, and payments.

Review invoices from vendors to ensure accuracy in billing.

Process and reconcile credit card statements.

Perform weekly check runs.

Ensure all reoccurring payments (utilities, leases, etc.) are paid on schedule.

Update and file a new vendor form. Collect W-9 and provide manufacturing tax-exempt documents when necessary.

Reconcile vendor statements monthly and yearly.

Assist with year-end closing (accruals and invoice cut-offs).

Prepare year-end 1099s.

PR:

Prepare and process all new hire paperwork.

Enter weekly timesheets for job-costing.

Process payroll weekly.

File certified payroll records online.

Experience:

Two or more years of accounts payable, payroll, or related experience.

Proficient with MS Office, including Excel, Outlook, and Word.

Experience in Sage 300 Construction and Real Estate (Formerly Timberline).

Experience in a construction environment.

Skills/Aptitude:

Ability to prioritize and multitask.

Organizational and recording skills.

Excellent oral and written communication skills.

Strong interpersonal and customer service skills.

Ability to handle confidential information with discretion.
