Position Summary: Meals on Wheels coordinator
The Meals on Wheels coordinator has primary administrative responsibility for the Meals on Wheels program, and will work remotely on a flexible schedule except for when “on call” for Meals on Wheels (days agreed upon by staff).
On-call days require availability to troubleshoot meal delivery issues, and occasionally deliver a Meals on Wheels route as an emergency backup. Hours of “on-call” are during the meal delivery window, 11:30AM -12:45 PM.
Specific duties are outlined below. 7-10 hours per week, with a maximum of 40 hours per month. Work hours and schedule are flexible within ability to maintain professional expectations and required work requirements; schedule may very infrequently include weekend or after-hours events.
General Responsibilities
Meals on Wheels Administrative Functions
Oversee proper daily functioning of the Meals on Wheels program and adequate record keeping
Act as liaison between meal recipients and the meal provider; ensure execution of meal route changes as needed and communicate changes with meal provider staff, as well as Council on Aging and Human Services
On call duties- troubleshooting and backup meal deliverer (very seldom)
Collaborate with Program Coordinator regarding meal volunteers
Process and distribute meal statements for meal recipients by the 10th of every month
Keep track of Meals on Wheels supplies as needed, i.e. bags, trays, coolers, etc.
Maintain client and delivery records and process intake of new meal recipients
General Administrative Functions
Main point of contact via phone for the organization, delegate calls as needed
Assist with public relations & community outreach, promoting programs to potential clients & volunteers
Produce written communications, articles, and council publications as needed
Represent PCCoA at partner meetings and community events with other staff, including attending monthly meetings with community partners and board (3rd Thursdays of each month- 1:30 for community meetings [Feb, Apr, Sept and Nov] and 3:30 PM for board only meetings [Jan, Mar, May, Oct, Dec]. Summer meetings on as needed only basis).
Assist with fundraising events and donor cultivation to increase funding opportunities
Assist with grant writing as needed
Assist with website and social media updates
Assist with day to day business such as collecting mail from PO Box and distribute/scan as needed and bank deposits
Help in building connections in the community and garnering financial and volunteer support
Qualifications
Two or more years of administrative experience in a professional setting.
Competent understanding of needs and characteristics of the at-home senior population.
Strong initiative and follow-through, including ability to work independently with little or no direct supervision.
Demonstrated ability to work with various personalities while maintaining tact and professionalism.
Ability to collaborate with staff, Board, community partners, as well as staff of various businesses and community organizations.
Solid organizational abilities, including planning, program administration and development, task facilitation.
Excellent interpersonal, oral, and written communication skills.
Valid driver’s license, insurance, and access to reliable transportation.
Acceptable completion of criminal background check.
Preferred Qualifications
Non-profit and/or social services background.
Bachelor’s degree or equivalent.
Experience working with a Board of Directors, financial management, and fundraising.
Experience participating in and/or supervising volunteers/events.
