Pullman Community Council on Aging: Executive Director Position Description

The Pullman Community Council on Aging (PCCoA) is a nonprofit group of citizens and professionals advocating for Pullman’s senior citizens since 1973. Its mission is to improve the quality of life for local seniors through advocacy and action: identifying needs, developing solutions, and connecting resources.

The Council meets regularly with its community partners, providing unique opportunities for collaboration within the senior service sector. PCCoA programs include Pullman Meals on Wheels and Senior Chore Service, with the goal of both being that seniors may retain independence and the ability to remain in their own homes. The PCCoA publishes a ‘Guide to Senior Services,’ which provides information about regional, state and national resources to help seniors and their families identify agencies and programs that can assist them in leading a healthier life.

Position Summary

As the public face of the Pullman Community Council on Aging, the Executive Director has many roles and

responsibilities including oversight of staff, volunteers, programs and development. The Executive Director works

remotely and with flexible hours, coordinating with two other part time staff members to oversee the programs of the

PCCoA- including the Senior Chore Service and Meals on Wheels, as well as working with community partner groups

and organizations to connect seniors with needed solutions and resources for their needs. The Executive Director reports

to the Board of Directors with direct supervision by the Executive Committee. Specific duties outlined below.

Compensation/Work Hours: $23/hour, 10-15 hours per week with maximum of 50 hours/month. Work hours and

schedule are flexible within ability to maintain professional expectations; schedule may occasionally include weekend or

after-hours events. On call responsibilities require on demand availability from 11:30-1:00 PM on agreed upon on call

days. Paychecks are issued at the beginning of each month for work the previous month. No additional benefits are

offered.

Qualifications

Two or more years of administrative experience in a professional setting.

Competent understanding of needs and characteristics of the at-home senior population.

Strong initiative and follow-through, including ability to work independently with little or no direct supervision.

Demonstrated ability to work with various personalities while maintaining tact and professionalism.

Ability to collaborate with staff, Board members, community partner organizations, as well as other businesses and community organizations.

Solid organizational abilities, including planning, program administration and development, task facilitation.

Excellent interpersonal, oral, and written communication skills.

Valid driver’s license, insurance, and access to reliable transportation.

Acceptable completion of Washington State criminal background check.

Preferred Qualifications

Non-profit and/or social services background.

Bachelor’s degree or equivalent.

Experience working with a Board of Directors, financial management, fundraising.

Experience participating in and/or supervising volunteers/events.

Supervisory/Oversight Roles

Supervisory oversight of the other PCCoA staff members

Oversight of both Meals on Wheels and Senior Chore Service program volunteers and senior participants

Working with the board, lead the organization in a manner that supports and guides the mission.

Communicate effectively and efficiently with the Board to help them make informed fiscal and policy decisions, fulfilling such roles as they deem necessary- including but not limited to- preparing board meeting agendas, ensuring necessary materials and reports are available for the board decision making, leading meetings with community partner organizations, ensuring archival of organization documents and proper storage of PCCoA records.

Conduct periodic evaluation and assessment of programs and staff to ensure their effectiveness.

Maintain appropriate volunteer and client records and ensure all necessary forms and paperwork are completed and documented. Recruit, train and oversee volunteers or delegate that responsibility to other staff.

General Fiscal Responsibilities

Day to day managing of fiscal operations of the organization

Preparing and distributing monthly Meals on Wheels statements

Managing the annual budget and providing regular budget progress and financial reports to the board

Regular financial tasks such as bank deposits, tracking spending, tracking donations

Overseeing grant writing and fundraising

Serving as the purchasing agent for the council and overseeing administrative and program purchases

Processing payroll for PCCoA employees

Public Relations & Technology Maintenance

Producing and distributing written communications to the public

Updating council publications (‘Guide to Senior Services,’ program information documents)

Quarterly ‘Community Update’ articles

Represent the PCCoA at public meetings and community events

Overseeing email accounts

Maintaining (with assistance of the site developer) the organization’s website (www.pullmanccoa.org)

Fundraising & Donor Responsibilities

With the board and staff, procure funding opportunities through donor cultivation and management, maintaining donor records and correspondence

Pursuit of community and regional grants and administration of awarded grant money, monitoring and reporting grant fund spending

Fundraising campaigns and events.

Year end tax documentation

Work with the organization accountant to ensure proper financial reporting

Produce annual program reports and statistics
