C & J Excavating Inc., a well-established and respected excavating company with a 42-year history of serving the Olympic Peninsula, is seeking a skilled and dedicated full-time Office Manager with strong bookkeeping expertise to join our team in Carlsborg, WA. We have deep roots in this community and are proud of the quality work and service we provide.

As our Office Manager, you will be the central point of our daily operations, ensuring financial accuracy and smooth administrative processes.

Key Responsibilities:

Perform daily timecard data entry and manage bi-monthly payroll processes.

Calculate & process prevailing wages & certified pay for federal projects.

Manage employee onboarding and maintain employee personnel files. Process & file EOY W-2s.

Prepare and submit annual insurance audits.

Prepare federal, state, and local tax filings. Ensure that all taxes are paid properly and on time.

Monitor and reconcile bank and credit card statements.

Maintain organized and accurate financial records.

Manage and maintain accounts receivables. Accurately prepare monthly aging reports, process & send customer invoices, and collect payments.

Manage and process accounts payables. Maintain relationships with vendors.

Secure and maintain required documentation for subcontractors such as W-9s and prepare and process EOY 1099s.

Prepare bank deposits.

Provide general office administration support.

Qualifications:

Experience as an Office Manager or able to demonstrate ongoing experience in a construction atmosphere.

Must be proficient in QuickBooks Desktop.

Minimum of 3 years of experience in full-cycle bookkeeping, including A/R, A/P, and payroll.

Proficiency in Microsoft Office products (Word, Excel, Outlook) and familiar with Google’s suite of tools.

Strong written and verbal communication skills.

Exceptional analytical, organizational, and prioritizing abilities. The ability to manage multiple priorities.

A solid knowledge of GAAP, standard bookkeeping principles and procedures, and financial reporting.

Starting pay range: $24 - $30/hourly
