Jamestown Healing Clinic (JHC) is accepting applications for a full-time Administrative Assistant to join our growing team!

The JHC Administrative Assistant provides clerical support services to all employees of the JHC. General office duties include but are not limited to; reception, telephone, typing, filing, and office supply purchasing. Duties require a clear understanding and skill in all aspects of office administration, basic accounting, and mathematics, and knowledge of substance use disorders and the effects on individuals, families, and communities.

Jamestown S'Klallam Tribe has implemented COVID-19 safety measures to ensure the health and well-being of our employees, patients, Tribe, and vulnerable citizens of our community, which includes required masking regardless of vaccination status. About Jamestown Healing Clinic

The Jamestown Healing Clinic (JHC) is a new integrated care clinic that will be opening Spring 2022. JHC will provide comprehensive patient care including an opioid treatment program, primary care, dental, substance abuse disorder counseling, and behavioral health. We believe a holistic service delivery approach is most effective at providing sustained recovery for those struggling with addiction. That's why in addition to offering substance abuse disorder treatment, we will also be offering a robust group of wrap-around services to best address the total needs of our patient population, such as child-watch, transportation and individualized care coordination. Medication-Assisted Treatment

Most clinic patients will receive a daily dose of medication for their Opioid Use Disorder (OUD) that will consist of either Methadone, Buprenorphine (Suboxone), or monthly Vivitrol.

Primary Care

All JHC patients will have access to comprehensive primary care services that may include episodic/acute visits, chronic disease management, and preventative care services.

Dental Care

Patients will also be able to utilize a variety of on-site evidence-based dental services to address acute dental concerns as well as preventative dental care.

Individual & Group Mental/Behavioral Health & Substance Abuse Disorder Counseling

Each patient will receive an individualized behavioral health and substance use disorder counseling care plan to help best support their unique recover needs. This may include 1:1 or group behavioral health counseling, psychiatric evaluation and medication management, as well as a wide variety of 1:1 or group SUD counseling offerings.

On-Site Child Watch Services

Our patients will be provided free childcare services for up to two (2) hours per day while the patient is receiving treatment on-site.

Shuttle Transportation Services

JHC will provide shuttle service transportation to patients residing in Jefferson or Clallam Counties who have no other transportation options.

As an Administrative Assistant, you will:

➤Coordinate and schedule appointments for multiple providers including medical, mental health, and counselors

➤Assist and informs patients regarding the established treatment process, maintaining confidentiality and ensuring full compliance with all HIPAA regulations

➤Utilize Electronic Health Record (EHR) program to place information updates and appointment reminders into the client kiosk. Provide training and assistance to patients in the use and functionality of the kiosk program

➤Oversee processes for observed urinalysis drug screens daily

➤Verify patient eligibility on an individual basis; submits required information to appropriate department

➤Assist counselors and medical staff with faxes, printing of notes, and all other office related tasks

➤Maintain, inventories, orders, collects, and distributes supplies and/or equipment

➤Process all paperwork for scanning and provides case management support to counselors and medical staff

➤Organize all treatment packets and forms for patients in office

➤Assist with program events and clinic community outreach as instructed by clinic leadership

➤Cross train to provide coverage for other non-medical JHC positions, i.e., Child Watch

What are the Required Qualifications for this position?

➤High School Diploma

➤One (1) year experience in administrative assistant experience in an office environment

➤Knowledge of administrative and clerical procedures, terminology, and systems such as word processing, managing files and records, transcription, designing forms, etc.

➤Understanding of basic accounting

➤Understands the social and cultural context of the patients at the JHC including the role of trauma, historical, community, family, and personal experience in wellness and recovery

➤Understands and adheres to state (RCW, WAC) and federal confidentiality regulations (42 CFR part 2). Applicants must always conduct self ethically and professionally

➤Working knowledge of substance use disorder and its effects on individuals, families, and communities

➤Computer efficiency in Microsoft Excel, Word, and PowerPoint

➤The ability to communicate effectively with patients and their families

➤Professional

➤Ability to travel locally and regionally as assigned

➤Valid Washington State Drivers License

➤Basic CPR/First Aid Certification or ability to complete employer provided training upon hire

➤Must be able to successfully pass a criminal background investigation

➤Uphold all current vaccine requirements for employment

What are the Preferred Qualifications for this position?

➤Associates Degree

➤Experience in a medical office environment

➤Previous work in substance abuse treatment setting and/or primary care experience

➤Experience in using EHR software

➤Knowledge of Local, State, and Federal Laws and Regulations

➤Excellent organization skills and the ability to prioritize multiple tasks

➤Effective time management, decision-making, and problem-solving skills

➤Demonstrate initiative, work independently with little supervision

➤American Indian/Alaska Native preferences apply
