The Medical Records Technician (MRT) provides support to a facility by organizing, filing, scanning, and maintaining the medical records. Essential Duties and Responsibilities:

Adds new material to file records, and create new records as necessary

Answers questions about records and files

Assigns and records or stamps identification numbers or codes, to index materials for filing

Eliminates outdated or unnecessary materials, destroying them to inactive storage according to file maintenance guidelines and/or legal requirements

Enters document identification numbers into the system to determine locations of documents to be retrieved

Finds and retrieves information from files in response to request(s) from authorized users

Keeps records of material filed or removed per facility policy

Modifies and improves filing systems and/or implements new ones

Performs periodic inspections of the materials or files to ensure correct placement, legibility, and proper condition

Places materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information

Scans or reads incoming materials according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order

Tracks materials removed from file to ensure that borrowed files are returned

Converts documents for storage on microforms (such as microfilm or microfiche) or scanned document imaging

Designs forms related to filing system

Gathers materials to be filed from departments and employees

Operates mechanized files to bring needed records to a particular location

Performs general office duties such as typing, data entry, operating office machines, sorting mail, and answering phones

Retrieves documents for viewing, whether stored in microfilm or microfiche or on scanned images

Protects patients’ rights to privacy by keeping patient information confidential

Performs other duties as assigned/necessary

Minimum Requirements:

High School degree or equivalent required

Excellent organizational skills

Knowledge of medical terminology and HIPAA guidelines

Minimum of 6 months medical record and clerical experience preferred

Complies with all relevant professional standards of practice

Participation and completion of Amergis’ Competency program when applicable

Current CPR if applicable

TB questionnaire, PPD or chest x-ray if applicable

Current Health certificate (per contract or state regulation)

Must meet all federal, state, and local requirements

Successful completion of new hire training as applicable to job site

Understand patient confidentiality and HIPAA requirements

Ability to effectively elicit/provide information to and from appropriate individuals (including, but not limited to, supervisors, co-workers, clients) via strong communication skills; proficiency in the English language is required

Computer proficiency required

Must be at least 18 years of age
