Executive Assistant

Hours Generally 7am to Noon Pacific Time M-F, occasion other hours outside of that schedule. 25 hours per week.

Pay $25 per hour to start. Performance review and possible increase after 6 months with a positive review.

Looking for someone with exceptional organizational and people skills, who handles all manner of tasks not covered by an existing member of my leadership team and administrative staff.

Duties Include:

Calendar Management: Organize and maintain the executive's schedule, including scheduling meetings, appointments, and travel arrangements to ensure effective time management.

Communication Management: Serve as the primary point of contact between the executive and internal/external stakeholders. Manage incoming and outgoing communication, including emails, phone calls, and mail. Includes filtering email and notifying of priority items.

Meeting Coordination: Arrange and coordinate meetings, including setting agendas, organizing logistics, and taking minutes during meetings as required.

Document Preparation and Management: Prepare, edit, and distribute documents such as reports, presentations, and correspondence. Ensure all documentation is stored and organized effectively for easy access.

Project Assistance: Support the executive in project management by organizing project materials, facilitating communication among project stakeholders, and tracking project progress.

Confidentiality Maintenance: Handle confidential information with discretion and integrity, ensuring that sensitive information is protected and secure.

Event Planning: Assist with the planning and execution of corporate events, meetings, and other functions, managing details such as guest lists, venue, catering, and logistics.

Research and Analysis: Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.

Executive Support: Provide personal assistance to the executive as needed, which may include personal errands or managing personal appointments, to ensure the executive can focus on their professional responsibilities.

Checking mail at a post office box occasionally (when management is out of town). Depositing checks. Scanning or photographing mail and forwarding electronically to stakeholders.

Expectations:

Candidate must be comfortable working over Teams or Zoom to effectively work virtually “side by side” with team members.

Must have a professional attitude and demeanor.

Remote Work:

Over 98% of the work will be remote from your location.

There will be some things that require meeting in person in Whatcom County or visiting the bank or post office in Ferndale WA.

Any mileage for work related travel will be reimbursed at the standard IRS rate.
