A Dental Office Administrator plays a vital role in creating a positive patient experience and supporting the overall success of the dental practice. We are seeking an individual who is detail-oriented, highly organized, has excellent written and oral communication skills and a passion for ensuring smooth office operations! If you think you’d contribute well to our thriving team, read on!

Dental experience is not necessarily required, we’re willing to train the right candidate, especially with previous customer service experience.

Position is Tuesday 7:30am to 5:00pm, Wednesday 7:30am to 5:00pm and Friday 7:00am to 3:00pm with the option of hours on Thursdays as well.

Key Responsibilities:

Front Desk Management:

Greet patients warmly as they arrive and create a positive first impression.

Answer phone calls, address patient inquiries, and manage the front desk efficiently.

Use Dentrix software for appointment scheduling, billing, and record-keeping.

Troubleshoot and resolve any administrative issues that may arise in the day-to-day operations.

Patient Coordination:

Schedule and coordinate patient appointments, ensuring optimal use of dentist and hygienist schedules.

Manage patient records, including updating personal information and medical history.

Confirm appointments and send reminders to patients.

Handle patient concerns and complaints effectively, ensuring a positive resolution.

Billing and Insurance:

Handle billing processes for services rendered to patients.

Verify patient insurance coverage.

Assist patients with financial inquiries and review treatment plans.

Team Collaboration:

Work closely with dentist, dental assistant, and hygienists to ensure a coordinated approach to patient care.

Communicate effectively with the dental team to relay patient information and appointment details.

Qualifications:

Experience Matters: Previous experience in dental office administration is highly desirable.

Tech-Savvy: Proficient in dental software (preferably Dentrix) and basic office applications.

Communication Skills: Excellent verbal and written communication skills to interact with patients and colleagues effectively.

Detail-Oriented: A keen eye for detail to ensure accurate record-keeping and billing processes.

Problem-Solving Skills: Ability to handle unexpected situations and find effective solutions.
