Position: Administrative Assistant

Location: Henrico, VA

Employment Type: Part-time, 25 hours/week, Competitive Pay +18/hr

Key Responsibilities:

Customer Service:

-Handle incoming calls, respond to emails, and manage online inquiries.

-Provide information to potential leads and schedule appointments.

Basic Bookkeeping:

-Maintain accurate records of financial transactions, including accounts payable and receivable, invoicing, and expense tracking.

Social Media Management:

-Post job photos and updates on company social media platforms, engaging with followers and promoting our services.

Office Management:

-Order office supplies, manage files, and ensure the office environment is organized and welcoming.

-Scanning, copying, printing misc documents

-Keeping meeting minutes

-Breaking down and organizing boxes from deliveries

-Keeping kitchen supplies stocked

Communication:

-Coordinate with clients, contractors, and team members to ensure project timelines and expectations are met.

Scheduling:

-Assist in scheduling appointments, meetings, and project timelines. Ensure calendars are up-to-date and conflicts are resolved.

Data Entry:

-Maintain and update client information, project details, and other relevant data in the company database.

Support:

-Provide administrative support to the management team and assist with special projects as needed.

Qualifications:

-High school diploma or equivalent; additional education or certifications in office administration or bookkeeping is a plus.

-Proven experience as an administrative assistant or in a similar role.

-Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with bookkeeping software (e.g., QuickBooks) preferred.

-Experience with social media platforms (Facebook, Instagram, etc.) and basic content creation.

-Strong organizational skills and attention to detail.

-Excellent communication and interpersonal skills.

-Ability to multitask and prioritize tasks effectively.

-Self motivated and able to work independently as well as part of a team.
