Office Assistant Part Time Position (Virginia Beach)

Indian Lakes Foundation 1313 Indian Lakes Blvd. Virginia Beach, VA

Hours: Monday – Friday 1:00 p.m. – 5:00 p.m. Occasionally filling in 8:00 a.m. – 5:00

p.m. and possibly a few weekends.

Duties include but are not limited to answering phones, greeting visitors, data entry,

filing, operating office equipment,

Daily interactions:

Being the first point of contact, welcoming visitors and creating a positive first

impression. Answering and directing incoming calls efficiently and professionally.

Providing information, answering questions,

and resolve customer issues. Helping with delinquent accounts and collections. Update

Enumerate Central Data banks with current/correct HOA information. Help with

disclosure packets including property assembling all documentation (bylaws, related

documents, etc.) needed to complete the package. Interact with title companies, realtors

and closing attorneys as related to ILF property sales. Handle ACC request forms to

ensure proper completion and notification of homeowners of subsequent approval or

disapproval. Continuous copying of all disclosure packet documents to maintain ample

supply.

Handling clubhouse rentals and related questions. During pool season, handle requests

pool passes, guest passes and any pool incidents that need intervention.

Opening and closing the office. Any other duties as required and/or requested by the

manager and/or BOD.

Requirements:

 Filing and Data Entry: Keeping records organized and up-to-date, potentially

including data entry into computer systems.

 Computer Skill: Proficient in Windows 365, Office suite and Excel.

photocopying, faxing, and other office equipment.

 Operating Office Equipment: Using phones, computers, printers and other

equipment to perform tasks.

 Confidentiality: Handling sensitive information with discretion and

professionalism.
