I am interested in hiring a self-motivated and highly organized Personal Assistant to support a local business owner

The successful candidate will be responsible for completing tasks that include managing an Executive’s schedule, contacting and meeting vendors, writing letters, performing research to fulfill both business and personal objectives.

The ideal candidate is a good listener, a problem solver, highly organized, and has a can-do attitude and a keen eye for detail. We are looking for someone who is organized, reliable, and able to work independently with minimal supervision.

In addition to the networking potential, this position offers an opportunity to gain insight on executive decision-making.

Primary Responsibilities

Drafting correspondence (letters, thank you notes, and emails)

Maintaining business and personal contacts and holiday card mailing lists; purchasing/mailing holiday cards, gifts, etc.

Running errands such as pick-ups (e.g., meals, supplies), returning items, delivering gifts, UPS/FedEx, post office, car maintenance appointments

Scheduling appointments and keeping record/calendar of needed appointments with reminders and etc

Tracking and assisting the replenishment of office items/consumables/supplies

Assisting with party/event planning, restaurant reservations, cultural and other activities

Performing online research where needed

Confirming that vendors and employees have completed assigned tasks

Arranging and coordinating travel schedules and reservations for the Executive

Preparing expense reports with a high degree of accuracy

Tracking and entering the Executive’s time into the company's accounting system, where needed

Managing/organizing business and personal documents

Placing orders for various business and personal items and gifts

Other duties as assigned

Qualifications

Effective communication skills, oral and written (fluent English and Spanish , ability to write professional documents and emails in both languages)

Prior experience working in a Personal/Executive Assistant role with references

Minimum of three years’ experience with an office environment

Proficient user of Numbers, Pages, GarageBand, Canva, Wix, and the like

Must have the ability to independently complete assignments
