Hello!

We are Neaves Construction LLC, a framing contractor with the majority of our projects located in the Northern Virginia area. We are looking for someone with office and/or secretarial experience to assist at our Fredericksburg office. Any accounting experience is a plus, but not mandatory. We would prefer at least 2 years experience in office work but we will consider all resumes and candidates. We are a team of highly professional individuals who take pride in our work and have fun while we do it! Must be able to set and meet work goals without supervision. This role is described as follows:

Title: Office Administrator

Location: Fredericksburg, VA

Responsibilities:

1. Email & Communication Management:

Monitor and manage email communications.

Facilitate internal communication within the team.

Speak with our partners and customers to gather info and solve issues.

2. Document Management & Data Security:

Maintain the company’s digital data with a focus on organization and backup.

Ensure data security and compliance with relevant legal requirements.

Handle confidential information, particularly around customer and employee data, with utmost care.

3. Brand Maintenance:

Update and maintain all advertising items

Ensure that content is professional, current, and aligns with the brand image.

4. Administrative Support:

Handle registrations, subscriptions, and various administrative tasks.

Manage the company mailbox, cash checks promptly.

Assist in the creation and updating of company documents.

5. Project & Employee Coordination:

Create and maintain project folders.

Update Excel sheets tracking contracts and employee hours.

Coordinate daily updates and photos in group chats with the team.

6. Hiring Processes:

Assist with hiring processes, including posting ads and screening candidates.

Maintain compliance with confidentiality protocols during the hiring process.
