We are seeking a personable Office Receptionist to join our team and provide administrative and organizational support at our Headquarters in Alexandria, VA. As the first point of contact, you will play a key role in creating a positive and welcoming experience for all visitors, clients, and staff. The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic environment. They will manage front desk operations, coordinate incoming and outgoing communications, and support various administrative tasks to ensure smooth daily operations. Strong communication and customer service skills are essential, as well as proficiency in managing schedules, handling inquiries, and maintaining a tidy and professional reception area.Responsibilities:Assist C-Suite with day-to-day responsibilities and projectsProvide excellent customer service, fielding calls and requests in a professional mannerWelcome visitors in a warm and friendly manner, and answer any questions visitors have and ensure they follow HQ visitor protocolsMaintain cleanliness and organization of the reception area and all common spaces at all times.Operate standard office equipment on a regular basis, including a copy machine and a computerFacilitate events for 200+ employees in coordination with communications staffPropose new ideas to improve event planning and effectively implement the ideasReceive deliveries; sort and distribute incoming mailTake inventory of supplies and restock as neededCoordinate employee recognition events with Human Resources teamProfessionally communicate with internal and external leadershipManage building access for employees and visitors, updating permissions as required.Schedule and prepare conference rooms for meetings, handling special arrangements for guests, catering, and technology setup.Retain information according to company guidelinesLearn the office occupants’ specific needs and schedules
