Position Summary

The Hospitality Coordinator role reports directly to the High West Events Manager with a dotted line to the Sr. Manager of Internal Hospitality and is responsible for facilitating all internal CBI, industry VIP and other hospitality visit requests. The goal is to provide epic High West experiences to all clients by providing unforgettable hospitality experiences that highlight the best of our brand. High West’s mission “to make delicious whiskey, to share our love of whiskey with our customers, and to celebrate our home, The West” and vision to “be known worldwide as a top tier Whiskey maker with the best visitor experience in the industry” will guide the activities of this role.

Responsibilities

Drive all aspects of internal hospitality: collaborating with key partners for coordination and execution

Manage internal hospitality visits and requests at all venues:

Respond to initial requests within 6 business hours

Enter all inquiry information

Request additional information

Send venue packets and provide information on experiences available at each venue

Provide customized hospitality offering for requests

Maintain monthly visit report and upcoming visits reports

Work with Event Sales Reps to coordinate larger group events

Assist Sales and Marketing with VIPs and media reservations

Work closely with Saloon, Refectory and The Nelson Cottage management to clearly communicate visit needs, billing notes, etc.

Assist in driving increased revenue at each location through event bookings

Provide gift options, heightened trade relations tours and experiences

Implement process for trade visits to sign up for the High West Whiskey Club

BEO process & visit coordination

Coordinate all final details with client to create Banquet Event Order

Assist in coordinating with venue managers, staffing managers and finance to ensure staff has all updated information

Coordinate specialty requests such as gift drop-offs and ‘meet & greets’ for groups

Onsite event host and lead as needed

Assist in coordinating High West promotional events

Support in weekly BEO meetings: Meeting efficiency and improve informing up and cross functions

Qualifications

Minimum one year experience in event coordination and the hospitality industry

Passion for hospitality and events with a willingness to do what is needed to produce the best experience for our guests

Strong interpersonal and excellent communication skills required

Verbal, written, listening and presentation

Ability to take direction and work with existing guidelines and processes

Ability to work with a diverse set of team members

Ability to communicate clearly and effectively with a diverse set of clients

Must be experienced with computers; to include Microsoft Office (Word, Excel and Power Point), Outlook, e-mail, restaurant reservation, POS and event management software

Demonstrate a high level of follow through and ability to meet multiple deadlines

Strong organizational and time management skills

Dedication to providing excellent customer service

Willingness to work a flexible schedule, including days, evening, weekends and holidays

Physical Requirements/Work Environment

Physical Requirements:The employee frequently is required to sit or stand for long periods of time. The employee is occasionally required to lift and/or move objects up to 25 pounds. Frequent walking, including going up and down stairs and bending are required.

Work Environment:Working conditions at an event may require the employee to be outside for extended periods of time and/or occasionally in a kitchen with slippery floors. Irregular shifts, nights, weekends, and long hours may be required, particularly when working an event.

Position requires employee to work standard Monday – Friday shifts and support weekend and evening events as needed. Position requires five days on property with ability to work from home if business permits.

The salary range for this role is:

$20.67 - $29.14

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting.
