This position will support visitors, residents, and administrative staff in a variety of office responsibilities.As the first point of contact for our organization, this position plays a crucial role in creating a positive and welcoming atmosphere for all visitors and residents. The ideal candidate will possess excellent interpersonal and customer service skills and a solid understanding of office policies and procedures.This job is for you if you enjoy helping others, learning new things, and communicating clearly in person, over the phone and via email. Join us in creating an exceptional housing experience for families and graduate students at the University of Utah.ResponsibilitiesOversee the front desk, including, but not limited to:Greet and answer questions from all walk-in, telephone, department email boxes, and chat program traffic. Follow-up with questions and concerns.Open and close Main Office – locking and unlocking doors in a timely manner.Oversee office bulletin boards and approve fliers.Prepare all aspects of the move in packets and coordinate move-in orientations for new residents.Process Intent to Vacate forms including creation of work orders and inspections.Audit new applications and resident data, contacting residents and applications for missing information.Provide various clerical duties using Microsoft Office Suite and Apartment Management Software (Yardi).Assist Eligibility Coordinator in the preparation and execution of resident eligibility program.Coordinate meetings and appointments for Sunnyside Director and manage Director calendar.Manage Resident Life p-cards & tracking sheets.Provide back-up for cashier and assignment coordinator, when needed.Interview, hire, train, and supervise student workers for future package rooms.Assist Director with projects, as needed.Assist the Main Office, including, but not limited to:Purchase and management of office and break room supplies.Create signs and banners for events, office, and parking lot closures.Coordinate print and copy jobs for the department.Oversee check-out calendar and maintenance of department vehicle and golf cart.Responsible for office equipment repair tickets and coordinating general office maintenance.Serve on department and university committees, as assigned.Additional duties as assigned.This job description is not designed to contain or be interpreted as a comprehensive inventory of all duties, responsibilities and qualifications required of employees assigned to the job.Minimum QualificationsBachelor’s degree or equivalency (2 years related work experience may be substituted for 1 year of education) in a related area and a strong commitment to providing excellent customer service and effective communication skills required.
